PSE Salary Schedule Level 4 - $24.11 per hour

Responsibilities

  • Provide a variety of office support to an assigned program, including receptionist activities, composing and typing correspondence and reports.
  • Maintain and track records for compliance and/or completion; ensure record accuracy; input data into computer; produce reports as requested; monitor grant monies.
  • Coordinate and maintain assessment materials, records, schedules, and results; communicate information to the assigned program/department.
  • Prepare monthly newsletters, routine forms, memoranda, and correspondence; proofread and distribute materials.
  • Answer telephones and greet office visitors; provide program information and advice to staff, parents, and professionals; use tact and confidentiality in handling sensitive matters.
  • Respond to requests; route callers to appropriate staff; take messages; maintain open communication between teachers, staff, supervisors, parents, and the community.
  • Review and balance budgets with monthly financial reports, including encumbered expenses; monitor receivables for appropriate credit; make coding error changes and postings.
  • Maintain inventory and records.
  • Operate a computer and various software packages such as word processing, spreadsheet, database, desktop publishing, and mainframe applications.
  • Provide routine and custom reports as requested; maintain current knowledge of program rules, regulations, laws, and procedures; process materials for program compliance.
  • Track projects and deadlines; coordinate with others to meet program deadlines; report monthly enrollment counts for categorical programs.
  • Provide clerical support such as typing correspondence, reports, and memoranda; compose correspondence; maintain calendars; make travel and conference arrangements; create and maintain files; take minutes at meetings; prepare agendas.
  • May handle incoming mail, including receiving, opening, date-stamping, routing, screening, and taking action on appropriate items.
  • Model appropriate and cooperative behavior, including protecting confidential information, consistent with district ethical guidelines.
  • Provide backup and peak load assistance as requested; may work with auditors and/or program compliance personnel.
  • May purchase refreshments for meetings and conferences; track refreshment expenses.
  • May serve on district committees and/or departmental work teams.
  • Perform related duties consistent with the scope and intent of the position.

Requirements

  • Two years of training in secretarial procedures, involving maintaining detailed records and customer service.
  • Advanced training in business or secretarial procedures may substitute for up to one year of the required experience on a month-for-month basis.
  • Ability to communicate effectively, both orally and in writing; provide effective customer service and public relations.
  • Knowledge of office procedures, VAX system, data interpretation, bookkeeping, and accounting procedures.
  • Ability to maintain budget spreadsheets; high-level keyboarding and data entry skills.
  • Skill in operating a variety of office machines and learning specific software programs, including database and spreadsheet applications.
  • Skill in correct grammar, spelling, and English usage; ability to perform arithmetic calculations.
  • Ability to compose and format correspondence, reports, graphs, and charts; set up and maintain accurate files and records.
  • Ability to organize and set priorities for work; maintain confidentiality.
  • Ability to establish and maintain effective working relationships with a diverse group of people.

Licenses/Special Requirements

  • Fingerprinting and background check to ensure no convictions involving physical molestation, abuse, injury, or neglect of a minor.
  • Must complete training in and adhere to the district infection control plan.
  • Some positions may require a valid Washington state driver’s license to travel between school sites and a good driving record.

Mental Demands

  • Adapt to shifting priorities and frequently re-channel work effort.
  • Requires concentration and attention to detail.
  • May occasionally deal with distraught or difficult individuals.

Physical Demands

  • Exposed to visual display terminal for prolonged periods.
  • Required to sit for prolonged periods.
  • Some positions may require travel to various school sites.
