Essential Duties
- Receives office visitors and telephone calls while answering routine inquiries and screening calls for appropriate information.
- Takes messages and refers to appropriate YCSO staff.
- Sorts and files forms, reports, correspondence, and related documents.
- Schedules appointments, for the public and/or vendors as appropriate.
- Cleans and organizes the office environment.
- Conducts basic research related to specific situations.
- Prepare documents for filing.
- Examine letters, forms, documents, or reports for accuracy and reports discrepancies to supervisor as needed.
- Maintains records and files for patrol division.
- Codes, tabulates, and assembles statistical and related data.
- Gathers, collates, classifies, and posts information to department records and computer system.
- Collects fees, maintains fee collection records.
- Typing, standard forms, letters and other material as requested by the management team.
- Aids in data entry as needed into police computer systems.
- Operates office machines including but not limited to photocopiers, fax, mail machine, etc.
- Pick-ups, receives, sorts departmental mail.
- Communicate effectively with co-workers, management, and the public.
- Assist civil process as needed to ensure efficiency.
- Other duties as assigned by management team or designee.
Minimum Qualifications
- Knowledge of: Clerical procedures and practices.
- Professional grammar and punctuation.
- Communication skills.
- Ability To: Research, locate, interpret, and apply recorded information.
- Prepare correspondence and maintain records.
- Make accurate mathematical calculations.
- To develop and maintain effective working relationships with co-workers and the public.
- Communicate effectively both orally and in writing with attorneys.
- Operate common office machines.
- Safeguard confidential information.
- Perform duties independently.
- Learn and use ICON docketing system.
Education
- High School graduate or equivalent required.
- Advanced education is Preferred But Not Required.
