About the role

We are seeking a Clerk III to provide clerical coordination and support for Ambulatory Surgery Center (ASC) clinical operations. This role involves the use of personal computers, computer terminals, and a variety of software and/or conventional office equipment.

Responsibilities

  • Open and/or close the Ambulatory Surgery Center and complete general tasks such as retrieving voice messages and responding as necessary.
  • Coordinate, update, and distribute pertinent medical documentation for current, future, and previous day’s surgical cases.
  • Manage information from previous day’s surgeries; verify that all pertinent information is documented and distribute to other hospital locations appropriately.
  • Perform initial patient/family greeting, check-in procedures utilizing clinical software system(s), and facilitate patient flow.
  • Complete tasks arising from schedule changes, such as making telephone calls to patients and obtaining documents.
  • Complete required electronic documentation utilizing clinical software program(s), such as OR arrival and departure times.
  • Update the ASC Surgery schedule as required.
  • Answer questions from staff and visitors in a suitable manner or direct questions appropriately.
  • Assist nursing and other medical staff as required, such as making phone calls, addressing questions, and managing other tasks as they arise.

Requirements

Any combination of related clerical office experience, related undergraduate education, and/or post high school clerical training equivalent to two years of full-time employment.

  • Knowledge of office routines and functions sufficient to refer visitors and telephone calls and to route correspondence by name and functional area.
  • Knowledge of institutional and unit policies, processes, and forms.
  • Knowledge of proper format, grammar, spelling, punctuation, and capitalization.
  • Skill in utilizing computer software packages and online systems.
  • Skill in operating office equipment.
  • Ability to communicate effectively with staff, students, and the public.
  • Ability to follow oral and written instructions and apply institutional and other policies accurately.
  • Ability to gather, evaluate, and display data in appropriate format and keep accurate records.
  • Ability to exercise functional supervision over employees.
  • Ability to organize and prioritize multiple tasks.
  • Medical terminology.
  • Public Contact/Customer Service.

Desirable Qualifications

  • Basic computer skills.
  • Excellent written and verbal communication skills.
  • Ability to make decisions requiring interpretation and judgment.
  • Knowledge of format and clerical procedures to arrange a variety of material from different sources in a coherent and logical manner.
  • Knowledge of University policies, procedures, and regulations.

Schedule

Scheduled at 100%, Monday through Friday, 8-hour shifts on a rotating schedule between the hours of 5:30 a.m. and 5:30 p.m. Hours may be adjusted based on departmental needs.

Pay Grade: 8
Starting Salary Minimum: $39,087.36
