About the role
We are seeking a detail-oriented and organized individual to join our team as a Clerk in the Treasurer’s Office for Highland County. The ideal candidate will play a crucial role in maintaining accurate financial records, processing transactions, and providing administrative support to the Treasurer’s Office.
Responsibilities
- Record Keeping:
- Accurately input and update financial data into the designated accounting software.
- Regularly review and reconcile financial records to identify discrepancies and ensure data integrity.
- Prepare and maintain organized physical and electronic filing systems for easy retrieval of financial documents.
- Transaction Processing:
- Process a variety of financial transactions, including payments, deposits, and fund transfers, in a timely and accurate manner.
- Verify the completeness and accuracy of supporting documentation for each transaction.
- Collaborate with other departments to ensure seamless flow of financial information.
- Customer Service:
- Provide prompt and courteous assistance to the public, government officials, and internal staff regarding financial inquiries.
- Communicate effectively to address questions, resolve issues, and maintain positive relationships with stakeholders.
- Documentation:
- Prepare detailed and comprehensive documentation for all financial transactions.
- Maintain a systematic and easily accessible filing system for financial records and documentation.
- Assist in the preparation of audit materials and support during internal and external audits.
- Report Generation:
- Assist in the creation of financial reports and statements as required by management or regulatory bodies.
- Extract and compile relevant financial data to contribute to budgetary analysis and forecasting.
- Collaboration:
- Work collaboratively with team members to ensure efficient workflow and information sharing.
- Participate in team meetings and contribute ideas for process improvements and efficiency enhancements.
- Compliance:
- Stay informed about changes in financial regulations, policies, and compliance standards.
- Ensure that all financial activities adhere to established laws and regulations.
- Administrative Support:
- Manage phone calls, emails, and other forms of communication promptly and professionally.
- Provide general administrative support, including scheduling, filing, and coordinating meetings or events as needed.
Requirements
- High School diploma or equivalent; additional education in accounting, finance, or related field is a plus.
- Proven experience in clerical or administrative roles, preferably in a financial or government setting.
- Ability to perform basic arithmetic, including making change with money.
- Strong organizational skills with attention to detail.
- Strong interpersonal skills for effective collaboration and communication.
- Excellent written and verbal communication skills.
- Proficiency in using Microsoft Office Suite and basic knowledge of accounting software.
- Ability to work effectively under pressure and meet tight deadlines.
- Excellent problem-solving skills and the capacity to navigate complex financial information.
- Ability to work collaboratively in a team-oriented environment.
- Understanding of financial regulations and compliance standards.
- Demonstrated commitment to confidentiality and ethical conduct.
Qualifications
- Ability to sit for extended periods and perform tasks on a computer, with occasional standing and mobility required for tasks such as filing and retrieving documents.
- Proficient manual dexterity, coordination, and ability to perform repetitive motions for operating office equipment, typing, and handling paperwork.
- Clear and accurate vision, including the ability to view a computer screen and read printed materials.
- Capability to communicate with colleagues and members of the public.
- Capability to lift and carry up to 35 pounds occasionally, 5-10 pounds repetitively.
- Occasional travel may be required for training or special assignments (up to 5%).
Pay
$16.50 per hour.
