Duties
- Performs data entry, maintains records, and generates reports ensuring accuracy and completeness.
- Answers telephones and engages in intensive customer service including processing of ACH payments and assistance, dealing with the public, courts, attorneys, associates, and court-related agencies.
- Accepts and dockets all court pleadings and orders of court as well as certifying court orders and other documents from the record.
- Corresponds with inmates filing appeals to Superior Court and self-represented motions.
- Maintains records regarding appeals filed to appellate courts and records decisions after the record is returned.
- Compiles pleadings and transcripts for e-transmission to appellate courts including death penalty cases on appeal to the PA Supreme Court.
- Tracks post-sentence motions for application of PA Rules of Procedure regarding denial operation of law.
- Prepares all paperwork and performs data entry for constables to include the docketing of Private Detective Licenses.
- Generates general ledger entries, creates receipts, and reconciles the daily cashier's work receipts to prepare for daily bank deposits.
- Maintains escrow and draw down accounts, along with a log of unclaimed property for escheatment to the Commonwealth.
- Enters new lawsuits, judgments, appeals, petitions, municipal reports, and all other case filings.
- Processes new divorces, custody actions, transmittals, and other various pleadings.
- Determines and applies fees for each filing.
- Accepts payments for filings and issues receipts as required.
- Responsible for all cash, check, and credit card payments received.
- Processes all Civil and Landlord Tenant Appeals.
- Schedules and conducts virtual probate conferences.
- Administers an oath to appointed party(s).
- Ensures compliance with Local and State Rules and Statutes.
- Performs other related duties as required or requested.
Knowledge, Skills, and Abilities
- Knowledge of: Data entry procedures and related office practices; Computer features and functions; Local and state Rules of Procedure, statues, and administrative court orders; Fiscal/banking procedures.
- Skills in: Basic computer proficiency including Windows-based programs; Microsoft Excel, Outlook, and Word.
- Abilities to: Learn and comply with the PA Rules of Procedure and Allegheny County Local Court Rules; Learn and comply with the PA Rules of Procedure for the Family Division and for the Orphans’ Court; Learn and comply with the Probate, Estate, and Fiduciary Codes; Make basic decisions and utilize critical thinking and intermediate math; Maintain accurate records; Proofread and verify data; Work under general supervision; Follow oral and written instructions; Learn to use new computer software as required; Communicate and interact effectively, orally and in writing, with co-workers, supervisors, and the public; Enter data accurately and promptly into a computer; Count and process large cash payments; Interpret and act on orders of court and Rules of Procedure when necessary; Frequently lift and/or move files and books up to 10 pounds; Work in a moderate noise level environment.
- High School Diploma or its equivalent AND one (1) year of general office experience is required, or
- An equivalent combination of education and experience may be substituted.
- Candidates with two (2) years of college, a paralegal certificate, or legal experience are preferred.
- Applicants will be required to take a typing test for speed and accuracy and score a minimum of 30 words per minute. Applicants will be required to take a general math test including fiscal skills.
