Classroom Operations Coordinator
Reporting to the Manager of Classroom Facility and Operations, this role delivers high-quality technical and customer service while supporting daily team operations. The position performs work using knowledge and experience specific to the program, exercising independent judgment in interpreting and applying program rules and regulations.
Responsibilities
- Program Administration (45%):
- Monitor and assist with evening and other large-scale events in premier classrooms.
- Lead student employees in equipment set-up, tear-down, and operations using current technologies; assist as needed.
- Meet with clients on-site during events and collaborate with Facility Assistants to resolve challenges.
- Monitor event space lobbies during large/multiple events, providing crowd control as needed.
- Escalate unresolved equipment issues to the appropriate Academic Technologies team.
- Perform emergency light cleaning (e.g., bagging trash, wiping surfaces, vacuuming) when UW Custodial Services cannot prepare venues in time.
- Oversee recycling, compost, and landfill containers and policies within Academic Technologies spaces; order supplies as needed.
- Monitor communication channels (phone, voicemail, Slack) to address event issues in general assignment classrooms.
- Provide timely assistance using the evening student facility assistant team.
- Conduct building sweeps to ensure proper access security after evening events.
- Attend event planning site-visits with the Event Services team to provide AV and logistical expertise.
- Advise the Event Services team on equipment variables in Academic Technologies spaces.
- Serve as liaison between Classroom Facility and Operations, Event Services, and Classroom Technology teams, including relaying information and cross-training.
- Use Academic Technologies software to assist with event intake processing and facilitation in general assignment classrooms.
- Other duties as assigned.
- Inventory Management (20%):
- Maintain the AT equipment pool, fulfilling daily equipment maintenance and pulls for events, faculty, and classes.
- Maintain order and cleanliness in all Classroom Facility and Operations areas, including storage rooms, booths, AV pools, and closets.
- Track AV and furniture inventory.
- Stay familiar with the latest audio-visual and event equipment through training and self-directed research to advise on inventory improvements.
- Technology Administration and Data Management (20%):
- Ensure high-quality, professional-level automated video and/or audio recordings are completed and delivered.
- Oversee and maintain Crestron-enabled iPads for Facility Assistant use.
- Stay updated on troubleshooting techniques, procedures, updates, new equipment, and required UW/AT training.
- Create and distribute event schedules for AT spaces.
- Create and distribute Facility Assistant Service Order PDFs daily.
- Maintain and track Facility Services records for Kane Hall building issues; meet with Campus Facilities to ensure resolution.
- Maintain and adapt the Academic Technologies website as required.
- Training and Leadership (15%):
- Provide basic equipment and refreshment training for Facility Assistants (student employees).
- Train students on equipment operation, proper use of the equipment pool, pick-up/return procedures, and AV system utilization.
- Provide on-site AV equipment training to faculty, staff, students, and guests as needed.
- Support student staff during daily closing shifts.
Requirements
- High school diploma and two years of event or customer service-related experience.
- Equivalent education and/or experience may substitute for minimum qualifications except when legal requirements (e.g., license, certification, registration) apply.
Preferred Qualifications
- Experience with event-related AV coordination, setup, and troubleshooting.
- Excellent written/oral communication, technical documentation, user liaison skills, and personal interaction abilities.
- Ability to work with minimal supervision, both independently and as part of a team.
- Ability to de-escalate tense situations under pressure.
- Capability to perform tasks associated with commercial audio and video equipment, including:
- Lifting and carrying up to 45 lbs of bulky equipment/tools.
- Bending, squatting, climbing, reaching above shoulder heights, grasping, and fine manipulation.
- Business casual attire required; business dress attire may be requested for events.

About the Team
The Vice Provost of Academic and Student Affairs (ASA) oversees teams focused on pilot and project support, the Center for Teaching and Learning, Academic Technologies, and Learning Technologies. The mission is to enhance the student experience inside and outside the classroom. Goals include supporting faculty excellence and innovation in teaching and learning, promoting access and success for a diverse student body, and developing graduate leaders.
Academic Technologies (AT), a unit of ASA, is the campus leader in designing and integrating technologies in state-of-the-art learning environments. AT provides audiovisual and learning space design expertise to the UW community, working with students, faculty, and staff to enhance learning spaces with new technologies. AT supports instruction in roughly 300 general-use classrooms and offers a student equipment loan program. Its Events Services group hosts hundreds of events annually in facilities accommodating a wide range of needs.
Pay
Annual pay range: $47,256.00 – $63,156.00.
Schedule
- Standard working hours: 11:00 AM – 8:00 PM, Monday through Friday, with a one-hour meal break.
- Schedule may temporarily change based on business needs.
