Civil Deputy Administrator
About the role
This is a management position for Grays Harbor District Court with supervisory responsibility over all Civil Division staff. The Civil Division Director oversees civil filings including infractions, petitions for civil protection orders, small claims, name changes, writs of garnishment, and other civil cases.
Responsibilities
- Provide work direction to staff including reviewing work for accuracy and compliance, coordinating workflow, monitoring workload and coverage, and leading the division through change in conjunction with the Court Administrator and Judicial direction.
- Supervise, evaluate, and train all levels of the civil division staff in collaboration with the Court Administrator.
- Communicate with management on work progress, personnel issues, backlogs, and assist staff in meeting performance standards.
- Determine goals and develop and implement strategies to accomplish civil division plans.
- Maintain collaborative working relationships with judges, prosecuting attorneys, defense attorneys, law enforcement, and other team members and community stakeholders.
- Compile, analyze, report, and monitor processes to identify trends, issues, and proactively make recommendations for improvements.
- Serve as a subject matter expert and resource for division staff using advanced knowledge, expertise, and independent judgment to address complex, unique, or urgent case processing situations.
- Develop and oversee staff training and related materials, lead or coordinate division meetings, and guide local efforts for district court and/or statewide projects.
- Maintain documentation of and explain new court policies, processes, and procedures to division staff.
- Perform the full range of court operations work within the assigned division using case management software and related applications and equipment.
- Provide input on workflow and process improvements; suggest improved methods using technology.
- Provide excellent customer service to the public, stakeholders, and other staff in person, over the telephone, and through email.
- Attend and actively engage in trainings on bias, equity, inclusion, and allyship.
- Maintain regular, predictable, and punctual attendance during scheduled work hours at the assigned worksite.
- Perform other related duties and/or special projects as required.
- Oversee Civil Division compliance with applicable policies and procedures and verify monetary collection procedures.
- Provide requested reports and/or information to the District Court Administrator regarding the Civil Division.
- Participate in the District Court management team.
Requirements
- Associate's Degree or greater from an accredited college or university in business, communications, administrative assistant, or related field and at least two years of office and administrative experience.
- Any combination of training and work experience within the court system, legal, or civil case processing which demonstrates the necessary knowledge, abilities, and skills.
- A valid Washington State driver's license and acceptable driving record.
- Must pass a criminal background check.
- Must be bondable.
Skills
- Knowledge of general office practices and procedures.
- Knowledge of the philosophy and operation of the Justice System.

- Proficiency in entering, updating, retrieving, preparing, and processing court-related information using court computer systems and software (JIS, DISCIS, and CLJ-CMS).
- Skilled in the use of Microsoft Office programs including Word and Excel.
- Skilled in the use of standard office machines and equipment.
- Strong attention to detail and accuracy.

- Full-time, exempt management position with an anticipated hiring range of $77,436.00 - $88,328.00 per year, depending on qualifications and experience.

Working Conditions
Work is primarily performed in an office environment with varying degrees of noise and temperament of people. Physical requirements include sitting, standing, walking, reaching, pushing, pulling, a sense of touch, finger dexterity, ability to grip with hands and fingers, ability to hear voice conversation, ability to speak, and the ability to read existing records in their original and stored formats. Occasionally, there is a need to lift up to 20 lbs.
