About the Role

This is an entry-level position in the City Clerk Specialist series, serving as a vital point of contact for citizens and city staff. The role involves performing a variety of administrative duties, including assisting the public, processing business licenses, and accepting passport applications.

Responsibilities

  • Process passport applications on behalf of the U.S. Department of State, including maintaining records and monitoring for fraud, terrorism, or identity theft.
  • Maintain accurate records of passport appointments, respond to public inquiries, and manage inventory of passport materials.
  • Provide clear and accurate information to the public, assist with business license applications, and perform cash receipting duties.
  • Answer a multi-line phone system, manage the City Clerk’s Office email account, and distribute incoming mail and packages.
  • Serve as a Notary Public and organize, scan, index, and classify documents for operational and administrative files.
  • Assist with special projects, provide research support, and attend relevant meetings or training sessions.
  • Optionally assist with City Council public hearing and public forum sign-ups after normal working hours.

Requirements

  • High School Diploma or General Education Degree (GED) required.
  • Minimum of two years of experience in general administration, clerical support, customer service, and cash handling, or an equivalent combination of education and experience.
  • Ability to become a Certified Passport Acceptance Agent within 60 days of hire.
  • Ability to obtain a Notary Public for the State of Idaho within one year of employment.

Qualifications

  • Knowledge of municipal clerk's office objectives, programs, policies, and procedures.
  • Familiarity with applicable federal, state, and local laws, codes, ordinances, and regulations.
  • Proficiency in English usage, spelling, grammar, and punctuation.
  • Understanding of office administrative practices, record-keeping principles, and integrity in task performance.
  • Strong time management, detail orientation, and computer skills, including MS Office Suite.
  • Ability to maintain professionalism, handle disputes calmly, and exercise sound judgment.
  • Effective communication skills, both oral and written, and the ability to work as part of a team.

Work Environment

Work is primarily performed in an office environment with controlled temperatures, artificial lighting, and typical office noise. The role requires sufficient physical abilities for finger dexterity, speech clarity, hearing, visual acuity, and personal mobility.

Pay

Hourly Range: $20.00 - $21.68

Schedule

Monday through Friday, 8:00 am - 5:00 pm
