About the Role

The Centralized Staffing & Scheduling Coordinator performs scheduling, staffing, and timekeeping responsibilities for designated work areas. This includes creating and editing schedules, filling open shifts, managing timecards, and mobilizing staff for daily needs that arise less than 24 hours before a shift. The role requires strong communication with multiple stakeholders and leaders, utilizing an electronic staffing system platform.

Responsibilities

  • Creates and edits schedules for nursing departments in the electronic scheduling system, following all hospital policies, procedures, and guidelines.
  • Assigns specialty roles based on each unit’s operational needs.
  • Prepares accurate daily and/or shift work schedules reflecting forecasted needs in collaboration with nurse managers.
  • Approves or denies schedule requests based on skill mix and unit needs, communicating decisions to unit managers as appropriate.
  • Balances and publishes schedules at the end of the self-scheduling period to ensure all skill mixes are covered for unit efficiency.
  • Determines vacancy rates for various roles and posts incentive shifts in accordance with ministry policy.
  • Adjusts schedules to accommodate needs by acquiring additional personnel or reducing scheduled staff.
  • Contacts available staff to fill open shifts and meet unit care requirements using available resources.
  • Within 24 hours of shift time, determines complex department staffing needs and arranges appropriate coverage, communicating changes to units.
  • Manages unplanned shift vacancies, including receiving sick call notifications and evaluating market staffing needs.
  • Leverages technology to maximize inpatient resources with minimal fiscal impact to the hospital organization.
  • Maintains daily unit/department schedules within the electronic staffing system.
  • Communicates critical or immediate staffing needs to nurse managers or their designee.
  • Approves or denies timecard requests with attestations, communicating decisions to unit managers as appropriate.
  • Prepares timecards for manager approval, including reviewing and cleaning up exceptions.
  • Maintains staffing-related records, files, and reports, distributing them to appropriate leaders as determined by the manager.
  • Assists with allocation of agency resources and other duties related to contract labor.

Requirements

  • 1 year of experience with staffing and scheduling software (required).
  • Previous experience in a healthcare setting (preferred).

Qualifications

  • Associate degree in business, Data Management, or a related field (preferred).
