What You Will Do
- Collaborates with facility leadership and frontline associates to ensure associate schedules are published and updated according to department requirements.
- Deploys resources to units based on department criteria and guidelines to ensure adequate coverage for shifts.
- Promotes effective communication concerning all scheduling, staffing and payroll applications.
- Ensures scheduling and payroll related activities are performed consistently and in a timely manner.
- Maintains accuracy of scheduling and timekeeping for associates including but not limited to call in’s, shift swaps and planned time off.
- Demonstrates successful partnerships with facility leaders and frontline associates to balance unplanned schedule changes.
- Creates, maintains, and produces reports related to unit based staffing and scheduling metrics.
- Collaborates with the leader for enhanced pay practices, including shift incentives.
- Schedules staff to meet authorized hours and schedule requirements.
- Performs schedule audits to ensure staff meet authorized hours and schedule requirements.
- Promptly updates the scheduling system to ensure the accuracy of data including new associates, transfers and terminations.
- Supports continuity of staffing operations by cross-training and providing scheduler coverage when needed.
Education Qualifications
- Preferred - Associates Degree
- Required - High School Diploma or Equivalent
Experience Qualifications
- Required - 0-1 years Administrative
- Preferred - 1-3 years Hospital staffing or scheduling, or a closely related function
Skills And Abilities
- Knowledge of the business structure of clinical areas, nursing staffing structure, and staffing office operations.
- Knowledge of hospital staffing/scheduling policies and procedures.
- Proficient in scheduling systems and electronic timekeeping software.
- Must be proficient in the Microsoft Office program or programs (Word, Excel, Powerpoint).
- Excellent verbal and written communication skills.
- Able to prioritize and execute multiple tasks within deadlines with minimal supervision.
- Able to determine appropriate course of action in more complex situations and when to escalate issues to the leader.
- Able to organize multiple tasks and projects and maintain control of own and others' work flow.
- Able to perform basic arithmetic calculations.
Physical Demands
- The physical activities of this position may include climbing, pushing, standing, hearing, walking, reaching, grasping, kneeling, stooping, and repetitive motion.
- Must have good balance and coordination.
- The physical requirements of this position are: light work - exerting up to 25 lbs. of force occasionally and/or up to 10 lbs. of force frequently.
- The Associate is required to have close visual acuity to perform an activity, such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; or extensive reading.
