About the role

The Central Maintenance Spare Parts Coordinator is responsible for managing, organizing, and optimizing spare parts inventory in support of the Facilities Maintenance Department. This role ensures critical spare parts are available, accurately tracked, and appropriately stocked to support reliable facility operations, minimize downtime, and control maintenance costs. The Spare Parts Coordinator works closely with the Facilities Manager’s team, maintenance planners, technicians, procurement, and vendors. This position reports to the Manager of Facilities Maintenance.

Responsibilities

  • Manage and maintain spare parts inventory for facilities maintenance, ensuring parts are available to support preventive and corrective maintenance activities.
  • Monitor inventory levels, identify critical spares, and recommend reorder points and stocking strategies.
  • Ensure accurate receiving, issuing, labeling, storage, and organization of spare parts.
  • Maintain accurate spare parts, inventory, and asset records within the Computerized Maintenance Management System (CMMS).
  • Ensure parts usage is properly recorded and associated with work orders.
  • Support standardization of spare parts documentation, naming conventions, and inventory controls.
  • Coordinate with the Facilities Manager, Procurement, Production Control, MRO, and approved vendors to requisition spare parts and materials.
  • Assist with vendor management, pricing reviews, and lead-time tracking to support cost-effective purchasing.
  • Coordinate and standardize with all maintenance department spare part systems.
  • Support contractor and vendor access to spare parts as required.
  • Analyze inventory data to identify slow-moving, obsolete, or critical spare parts.
  • Recommend improvements to reduce excess inventory, minimize stockouts, and control maintenance costs.
  • Support reliability and continuous improvement initiatives related to spare parts management.
  • Ensure spare parts storage and handling comply with safety, environmental, and regulatory requirements.
  • Support audits, inventories, and inspections related to materials management.
  • Collaborate effectively with the Facilities Manager’s team, maintenance personnel, and cross-functional partners.

Requirements

  • Bachelor’s degree in Supply Chain Management, Facilities Management, Engineering, Business, or a related field with a minimum of five (5) years of related experience.
  • Demonstrated experience in spare parts, inventory, or materials management within a maintenance or facilities environment.
  • Working knowledge of CMMS platforms and inventory control processes.
  • Strong organizational, analytical, and attention-to-detail skills.
  • Proficiency in Microsoft Office applications, particularly Excel.
  • Effective written and verbal communication skills.

Preferred Qualifications

  • Experience with facilities systems such as HVAC, electrical, plumbing, and building automation systems.
  • Experience supporting centralized or multi-site maintenance operations.
  • Certifications in inventory, maintenance, or supply chain management.

Working Conditions

  • Combination of office and facility/stockroom environments.
  • Occasional lifting of materials and parts within established safety guidelines.
  • Occasional off-hours support may be required based on operational needs.

Pay

Base Pay Range (Annual): 85,431.00 - 128,146.00 USD
