Central Data Management Specialist
About the role
This position has direct responsibility for all Memphis administrative functions and data management activities, including operations-related data entry, order analysis, control product order entry and release, reception, file management, logistics clerical functions, accounts payable, 222 forms, and DEA-related clerical tasks. The role requires coordination with all Memphis and corporate management. At our Memphis distribution center, employees play a critical role in distributing life-saving products to hospitals, clinics, and nursing homes. The facility operates 24 hours a day, 5 days a week to meet patient needs.
Responsibilities
- Review paperwork to ensure clarity, completeness, and accuracy.
- Maximize office productivity through proficient use of appropriate software applications.
- Maintain accurate records of 222 forms and purchase orders.
- Review records for completeness, accuracy, and timeliness; prepare activity reports for management.
- Coordinate administrative activities across all departments and foster relationships with outside vendors.
- Prepare and coordinate visits to the Memphis site.
- Process receipts and releases in the business system and update appropriate logs.
- Create reports for receipt verifications and check stock levels.
- Maintain adequate stock of office supplies.
- Process inventory adjustments.
- Answer and direct calls from clients.
- Greet guests and provide building access.
- Complete import/export forms for clients.
- Adhere to all formal standard operating procedures related to operations.
- Ensure timely release of client orders.
- Understand the receipt process, controlled substance process, OS&D, and Call Tag Process.
- Provide monthly inventory information to appropriate areas.
- Complete both inbound and outbound DEA Forms 222.
- Formulate emails to DLSS staff as a means of communication.
- Support projects as assigned.
- Perform all tasks assigned by Supervisor or Manager.
- Review paperwork to confirm clarity, completion, and accuracy of all documents.

Requirements
- High School Diploma or GED required.
- Successful completion of a pre-employment background check.
- Prior experience in a distribution environment preferred.
- Good verbal and written communication skills.
- Basic math skills; calculator use permitted.
- Good attendance and ability to follow instructions without deviation.

Schedule
The Memphis distribution center operates 24 hours a day, 5 days a week. Flexibility to modify work schedule to support company needs is required.
Uniform Requirements
Mandated uniform includes khaki-colored pants, close-toed shoes, and a blue shirt. Leggings, yoga pants, or any form-fitting stretch pants are not permitted. Shoes should be sturdy and provide full coverage, ensuring no skin or socks are visible. After a 60-day probationary period, employees receive an allotment for customized EVERSANA uniforms.
