About the role

The position is responsible for assisting the Center Manager in carrying out personnel and office administration functions. It involves processing employee paperwork, maintaining licenses and certifications, assisting with scheduling, and managing office supplies.

Responsibilities

  • Processing employee paperwork, workplace injury paperwork, and maintaining employee data.
  • Aiding the Center Manager with staff schedules, timesheet adjustments, and payroll preparation.
  • Assisting with interviews, providing feedback, and supporting the hiring process.
  • Maintaining and organizing pre-employment documents for new hires.
  • Completing and processing Purchase Orders (PO), Expense Reimbursement Requests, and reconciling expenditures.
  • Collecting and organizing monthly reports, CEFs, PAFs, and submitting them to the Center Manager.
  • Maintaining resource manuals and ordering office supplies.
  • Maintaining meeting/training schedules, organizing events, and setting up space.
  • Recording and maintaining accurate documentation related to personnel, in-kind contributions, safety, and financial information.
  • Participating in community and parent meetings, taking notes, and keeping formal minutes.
  • Maintaining confidentiality of program and client-related information.
  • Contributing to in-kind fund contributions through the request of goods, services, cash donations, and encouraging volunteers.

Requirements

  • Acquire an ECE State Certificate or 47 ECE related credits within five years of hire.
  • Proficiency with personal computers, including Microsoft Office.
  • Accurate data management, documentation, and recordkeeping skills.
  • Excellent communication and interpersonal skills.
  • Experience in policy and procedure processes.
  • Ability to learn new tasks quickly and efficiently.
  • Ability to handle multiple tasks simultaneously and meet deadlines.
  • Knowledge of office administration procedures.
  • Ability to maintain a good working relationship with all co-workers and the general public.
  • Strong customer service focus and ability to work with a culturally diverse employee population.
  • English/Spanish bi-lingual fluency is a distinct advantage.

Qualifications

  • Associate’s degree in office administration or a closely related field, or equivalent combination of education, training, and experience.
  • Two years’ work-related experience in an administrative assistant, data clerk, or secretary role.

Position Requirements

  • Must be at least 18 years of age.
  • Ability to travel to perform job duties and responsibilities.
  • Pass initial and periodic background checks.
  • Pass initial and periodic employee health clearances.
  • Current Food Handler card.
  • Current First Aid/CPR cards.
  • Subject to initial and periodic TB screens.
  • Human Immunodeficiency Virus (HIV/AIDS) training.
  • Blood Borne Pathogen training.
  • MMR immunization record or proof of immunity.
  • Subject to drug and/or alcohol testing per IDC Drug and Alcohol policy.
  • Complete required training related to the position.
  • Sign a Confidentiality Agreement.
