Position Responsibilities

  • Assessment & Lab Operations: Manage OSCE and virtual assessment logistics, recruit and onboard standardized patients, schedule labs, oversee inventory, and manage lab setup and teardown.
  • Remediation & Accommodations: Coordinate specialized scheduling and accommodations for students needing retakes or disability services.
  • Exam Proctoring: Supervise high-stakes assessments, enforce "clean desk" policies, and manage technical troubleshooting.
  • Academic Liaison & First-Line Communication: Act as a strategic gatekeeper for faculty, handle initial student inquiries, and manage a formal appointment system.
  • Attendance & Professionalism: Review and process student absence requests, maintain a day-off tally, and track professionalism infractions.
  • IPE Coordination: Serve as the liaison for Interprofessional Education (IPE) events with Nursing and MD programs.
  • Guest Lecture & Adjunct Management: Manage administrative onboarding for adjuncts and guest lecturers, maintain a Master Adjunct Calendar, and ensure digital and physical campus access.
  • Financial Administration: Process check requests for adjunct faculty and guest lecturers, manage purchasing requisitions for lab supplies, and organize faculty/staff interview days.
  • Recruitment: Organize faculty/staff interview days, create itineraries, and handle related paperwork.
  • Communications: Serve as the primary point of contact, manage correspondence, and provide minutes for assigned committees.
  • Major Program Events: Manage the White Coat Ceremony, coordinate Open House events, and support other programmatic outreach initiatives.
  • General Operations & Faculty Support: Provide clerical assistance, schedule committee meetings, produce accurate minutes, and maintain organized data files.

Requirements

  • Technical Proficiency: Advanced knowledge of Microsoft Office products and familiarity with digital meeting platforms.
  • Compliance Knowledge: Understanding of FERPA and confidentiality guidelines.
  • Detail Orientation: Ability to audit documents, manage detailed inventory lists, and maintain data integrity.
  • Communication: Strong verbal and written communication skills, with the ability to assertively coordinate schedules via phone and email.
  • Education Requirement: High school diploma.
  • Experience Requirement: 3-5 years experience in an administrative role.

Qualifications

  • Ability to commute to the Santa Maria campus for the first few weeks of employment until the relocation.
