Specific Duties
- Head the Catering Sales Department's day-to-day catering sales operations by carrying out the following:
- Cook up to date booking files with clients.
- Promptly prioritize responding to clients' messages to fulfill their inquiries.
- Operate inventory to account for all equipment and supplies.
- Maintain linens, audio visual, and banquet supplies in good condition.
- Inspect physical facilities and equipment in the department, offering suggestions for improvements.
- Collaborate with the entire Sales team to meet budget targets by developing and executing sales and marketing strategies.
- Review the status of business, schedules, and priorities daily with the department.
- Prospect for new business opportunities in various market segments.
- Work closely with the Executive Chef to ensure smooth event execution, focusing on food and beverage requirements.
- Determine potential new markets for the hotel.
- Create special packages, promotions, and programs to boost the Catering Sales department's performance and present these ideas to the Director of Sales and Marketing (DOS).
- Keep sales files, production reports, and trace systems updated and submit weekly reports to DOS and the General Manager.
- Achieve personal sales goals through a detailed prospecting plan.
- Stay informed about local competition and industry trends.
- Coordinate with Group Sales to ensure room bookings align with client needs.
- Assist with event layouts and logistics to ensure guest satisfaction and maximize space and revenue.
- Upsell food, beverage, decorations, audio visual, and other event amenities whenever possible.
- Communicate with all departments to resolve or prevent issues during guests' events.
- Collect post-conference reports from the Banquet Department and review them with the Food & Beverage Director and DOS.
- Ensure all event details are accurately recorded in the system for accounting purposes.
- Support sales calls and outside blitzes as needed in collaboration with the Sales team.
- Create weekly sales and activity reports for DOS and the General Manager by 4:00 PM on Fridays.
- Participate in weekly social media meetings with the Customer Service Manager (CSM) and other department personnel to address the hotel's needs across all platforms.
- Perform any other tasks assigned.
Requirements
- Microsoft Word, Excel, MSI, and Reserve software
- Day and evening availability, including weekends and holidays, as per the requirements of your position and in conjunction with the needs of the hotel.
- Hours of business: 8:00 AM - 5:00 PM, Monday through Friday.
- Knowledge of applicable computer programs to carry out all duties of the position.
