About the Role

Potbelly Sandwich Shop is seeking friendly, outgoing people who enjoy working in a fast-paced environment. The Catering Coordinator manages and organizes the backline business, driving sales through building relationships with local businesses, current customers, and large-volume accounts. This role leads sales efforts, planning, organizing, and coordinating all aspects of daily catering and backline orders, while aggressively canvassing the neighborhood to identify new business and maintaining existing business.

Responsibilities

  • Work directly with General Manager to determine sales roadmap and goals with guidance from Catering Sales Team
  • Supervise backline operations to ensure all associates are POP compliant
  • Ensure all backline orders are complete and catering checklist/order verification forms are utilized
  • Collaborate with GM to discuss daily, weekly, monthly sales goals and opportunities
  • Act as mentor/trainer for associates on backline operations, ATO, and sales effectiveness
  • Assign, deploy, and coordinate delivery drivers for each order
  • Coordinate associates to assist in backline peak duties
  • Send thank-you notes and perform daily call-backs/call-aheads on all catering orders
  • Handle and resolve customer complaints and accolades using the three A's
  • Ensure catering collateral is displayed and stocked in the shop at all times
  • Own the delivery trade area for the shop and actively follow it
  • Manage capacity for backline based on staffing while maintaining food quality standards and order accuracy
  • Manage all house accounts including database of ATO and payments
  • Work weekly with DM to discuss sales successes and update sales goals
  • Strive to meet/achieve sales goals and targets; communicate results daily with GM
  • Actively participate in targeted canvassing, account maintenance calls, and correspondence with customers
  • Respond in a timely manner to customer catering quotes via email
  • Monitor backline sales trends vs. current year and prior year
  • Communicate backline sales trends and results to team in weekly manager meeting
  • Consistently update the Big Fish tracker to track orders and generate sales leads
  • Ask for the business—ensure active pursuit of all opportunities to drive catering/backline sales
  • Ensure all catering sides and utensils are provided using the Catering Condiment Wheel as a tool
  • Verify all backline orders are 100% accurate before delivery
  • Monitor that all associates answering phones and taking orders are suggestive selling extras and sides
  • Perform other associate position duties when assigned, including food preparation, restocking, cleaning, cash register operation, answering phones, and customer service

Requirements

  • Own vehicle for delivery
  • Valid driver's license with driving record in good standing
  • Proof of insurance with at least $50,000 per person and $100,000 per accident for property damage and bodily injury
  • At least 18 years of age
  • Excellent driving skills
  • Ability to stand/walk a minimum of 4 hours or as needed
  • Ability to exert well-paced and frequent mobility for periods up to five hours
  • Ability to lift up to 10 pounds frequently, 50 pounds occasionally
  • Frequent reaching, feeling, bending, stooping, carrying, fine manipulation, and data entry
  • Work in warm and cool environments, indoors (95%) and outdoors (5%)
  • Work in higher noise levels from music, customer, and employee traffic
  • Provide quick and friendly delivery service and setup
  • Must be able to tolerate potential allergens: peanut products, egg, dairy, gluten, soy, seafood, and shellfish
  • Strong sales skills to increase catering/backline revenues
  • Strong multi-tasking skills, detail-oriented, goal-oriented
  • Confident, self-motivated, and ambitious
  • Ability to work in a fast-paced environment with a sense of urgency
