Responsibilities

  • Oversee and manage intake and case processing for assigned Title IX and DHR matters.
  • Review reports and complaints to assess jurisdiction, policy applicability, and appropriate response.
  • Conduct intake interviews to clarify and document allegations involving discrimination, harassment, sexual misconduct, and retaliation.
  • Screen reports for immediate safety concerns and coordinate appropriate supportive or interim measures.
  • Care for pregnancy adjustments and modifications for students, track forms, and provide accommodation emails as needed.
  • Prepare notices, and related case documentation.
  • Ensure timely communication with involved parties regarding procedural steps, rights, and case updates.

Compliance & Policy Implementation

  • Carry out assigned Case Management and Education Specialist responsibilities in support of the Executive Director of Title IX & Inclusion/Title IX Coordinator to ensure continuity of Equity Programs and Compliance operations.
  • Support the administration of the University’s Title IX and DHR programs; manage reports and complaints involving discrimination, harassment, sexual misconduct, and retaliation; ensure prompt, equitable, and trauma-informed response processes; maintain accurate documentation and required reporting; coordinate training and outreach initiatives; and serve as a campus resource on civil rights policies, procedures, and regulatory requirements.
  • Interpret and apply CSU Executive Orders and applicable federal and state civil rights laws related to Title IX and Discrimination, Harassment, and Retaliation (DHR).
  • Implement established policies and procedures to ensure consistent and compliant case processing.
  • Maintain and update internal procedures to support operational effectiveness and regulatory compliance.
  • Remain current on evolving legal and regulatory requirements and apply updates to assigned work.

Case Coordination & Operational Support

  • Lead multidisciplinary team (MDT) meetings, including presenting case updates, identifying compliance considerations, and coordinating cross-functional responses to support timely, equitable, and policy-aligned case management.
  • Serve as the Hearing Coordinator/Tech Coordinator for Track 1 & 2 Hearings (State/Federal Hearings).
  • Prepare invoices, set up purchase orders and other financial documents.
  • Provide backup support for related compliance functions, including Clery-related coordination or other regulatory requirements, as assigned.

Campus Training, Prevention & Education

  • Lead and coordinate prevention and intervention education efforts related to Title IX and Discrimination, Harassment, and Retaliation (DHR), ensuring alignment with CSU Nondiscrimination Policy, Title IX, VAWA, and Clery Act requirements.
  • Determine the method, assignment, and tracking of annual training requirements.
  • Initiates and implements education and prevention programs and events for students.
  • Tracks response to education programs and analyzes campus training needs.
  • Provide information and technical guidance to faculty, staff, and students regarding reporting options and compliance responsibilities.
  • Coordinate campus-wide communications related to compliance initiatives, prevention efforts, and mandated training requirements to ensure consistent and accurate dissemination of information; provide required updates and reporting to the CSU Chancellor’s Office on systemwide initiatives, including Sexual Assault Awareness Month and Domestic Violence Awareness Month programming.
  • Support development and delivery of training and educational programming related to Title IX and DHR in accordance to the Cozen O’Connor Report, Program Review, and Chancellor Office Guidance.
  • Participate in campus committees or working groups as assigned.
  • Coverage of compliance initiatives and mandated training efforts.

Other Duties As Assigned

  • May be required to obtain additional training and/or certification as part of professional development, based on department and/or campus needs, to stay current with industry standards.
  • The omission of specific statements of duties does not exclude them from the position if the work is similar, related, a logical assignment to this classification, or if it involves performing duties of a lower-level classification as required.
  • Case coordination utilizing Maxient database.
  • Audits case files prior to closure to ensure compliant note keeping.
  • Conducts outreach in response to reports, arranges and schedules meetings.
  • Using existing templates, drafts referral memos and follow-up communication to all reports of Title IX & Inclusion reports.
  • Updates and maintains current information and content on the Title IX & Inclusion website.
  • Supports compliance training with data collection and compiling reports.
