Job Description

We are seeking a reliable and detail-oriented Case Assistant – Program Support to provide administrative support to two Career Service Counselors with visual impairments. This hybrid position plays a critical role in assisting counselors with case management activities, document preparation, electronic record management, and accessibility support within the MassAbility case management system.

Key Responsibilities

  • Aid Career Service Counselors with daily administrative tasks using the MassAbility case management system.
  • Create and prepare documents, letters, reports, and correspondence.
  • Enter and maintain accurate case notes and client information.
  • Initiate purchase orders and contract orders within the system.
  • Afford assistance with financial needs assessments and service plan development.
  • Upload, organize, retrieve, and maintain electronic client records.
  • Complete and process various forms, including tuition waiver letters, referral forms, MBTA TAP letters, and other program documentation.
  • Provide visual assistance by reading and explaining information displayed on computer screens.
  • Organize electronic files to ensure accessibility and efficient document management.
  • Maintain confidentiality of client records and sensitive information.
  • Collaborate effectively with counselors and provide timely administrative support.
  • Participate in virtual meetings using Microsoft Teams and Zoom as needed.

Required Qualifications

  • A high school diploma or equivalent required; an associate's degree preferred.
  • Previous administrative, office support, case management, or program support experience is preferred.
  • Strong organizational skills with the ability to prioritize multiple tasks.
  • Excellent verbal and written communication skills.
  • Ability to work independently with minimal supervision.
  • Strong attention to detail and accuracy.
  • A positive attitude with a willingness to assist others.
  • Ability to understand and follow verbal and written instructions.
  • Comfortable reading information displayed on computer screens and providing visual assistance.
  • Ability to quickly learn new software applications and case management systems.
