For 50 years, Olen has owned, developed, and managed distinctive commercial properties in Orange County, California. Our portfolio consists of over 6 million sq. ft. of premier office and flex-space projects. Olen leases and manages a mixture of Class A office buildings and light industrial properties. Additionally, Olen’s multi-family portfolio consists of over 17,000 apartment units in 50+ residential communities.
About the role
Olen is seeking a Space Planner who will be responsible for optimizing the use of physical spaces within an assigned space to enhance efficiency and functionality. On a daily basis, this role involves analyzing space requirements, developing layout plans, and coordinating with various departments and tenants to ensure that space allocations meet organizational needs. The primary objectives include maximizing space utilization, improving workflow, and ensuring that the physical environment supports the tenant’s and organization’s strategic goals. This role requires a keen eye for detail, strong analytical skills, and the ability to collaborate effectively with stakeholders to implement space solutions that align with the company’s vision and operational requirements.
Responsibilities
- Manage assigned project(s) including the project timeline and budget.
- Tenant Improvement Space Planning Programming: meet with tenants and/or in-house Marketing and Development (spec suites) to obtain tenant or spec suite requirements.
- Prepare a “fit” plan to scale and in CAD, keeping in mind both the tenant’s needs and the owner’s requirements.
- Field measure and create base sheets for spaces as needed.
- Work with the Construction team to ensure plans are correct and built accordingly.
- Assist in the hiring of architectural firms to obtain working drawings and permits as required. Oversee the permit process.
- Be familiar with Olen Standards and incorporate into space plans.
- New projects and capital improvements: conduct design/programming/feasibility studies.
- Solicit, review, and participate in consultant selections.
- Coordinate consultants including handling of billing and invoice matters.
- Review schedules and create adjusted or new schedules as needed.
- Oversight and observation of all site personnel, including job site superintendents, project administrative staff, and general contractors.
- Interface with the executive team to review job progress and any outstanding issues.
- Ensure all facets and needs of the due diligence, entitlements, design, and permitting of the development process are met.
- Develop a clear understanding of the scope of services provided by each consultant and contractor in the design/construction process and provide a weekly report of action items, including responsibilities associated with each development.
- Drive to jobsites as needed.
- Other tasks as assigned.
Requirements
- 2-4+ years of commercial property space planning design experience required. Experience working with an owner/builder preferred.
- 2-4+ years experience using AutoCAD or Revit.
- Familiarity with space management software such as Archibus or Serraview.
- Must have a strong working knowledge of Office 365, including strong skills in Excel, Word, SharePoint, and Outlook.
- Strong knowledge of building codes.
- Ability to speak, read, write, and understand the English language.
- Able to pass a pre-employment background screen.
- Bachelor’s degree in interior design, Architecture, or a related field.
- Must have a valid driver’s license and current auto liability insurance. This position is regularly required to drive between the office and job sites.
- Certification in space planning or interior design, such as NCIDQ, is preferred.

- The employee frequently is required to drive, stand, walk, sit, and use hands to finger, handle, or feel objects.
- The employee is occasionally required to reach with hands and arms, and climb or balance.
- The employee must frequently lift and/or move up to 10 pounds.
- Vision abilities required by this job include close and distance vision, and the ability to adjust focus.
Work Environment
While performing the duties of this job, the employee works primarily in an office environment with occasional offsite driving. The noise level in the work environment is usually moderate in the office to high at the jobsite if construction is occurring.
Pay
Salary Range: $94,000 – $119,000 per year. The posted range is flexible depending upon experience and skill level.
