About the role

The Business Systems Analyst serves as a bridge between business partners, product ownership, development teams, enterprise applications, architecture, project management, and emerging technology teams. This role translates business needs into clear requirements, practical solution options, intake-ready business cases, measurable outcomes, and delivery-ready work items. In addition to traditional BSA responsibilities, this position supports PCG’s growing AI portfolio and helps own and mature the project intake process.

Responsibilities

  • Serve as a liaison between business users, product owners, developers, architects, vendors, project management, and support teams.
  • Lead discovery conversations to understand the business problem, current process, desired outcomes, stakeholders, risks, dependencies, and measures of success.
  • Translate conceptual customer requirements, including the what and why, into functional requirements, user stories, acceptance criteria, use cases, process flows, and supporting documentation.
  • Document existing and future-state processes using the appropriate artifact, such as process maps, activity diagrams, data flow diagrams, use cases, decision logs, and functional specifications.
  • Evaluate process improvements, system improvements, and technology-enabled efficiencies using knowledge of ERP, enterprise applications, integrations, reporting, and business operations.
  • Own and facilitate the front-end project intake process, ensuring technology requests are captured, clarified, documented, and routed through the appropriate funnel.
  • Create and maintain project intake records in the approved PPM/intake tool using information provided by requestors, business partners, product owners, and IT stakeholders.
  • Maintain intake documentation structure, including project folders, canvas documentation, supporting artifacts, stakeholder notes, and links needed for downstream visibility.
  • Lead or co-lead canvas sessions with requestors, architects, product owners, SMEs, and other stakeholders to clarify current state, desired future state, business outcomes, scope, assumptions, constraints, dependencies, risks, and expected value.
  • Determine whether requests should proceed through canvas, charter, discovery, low-code/no-code review, AI evaluation, backlog intake, or another appropriate path.
  • Prepare and maintain charter and discovery inputs, including stakeholder identification, product owner identification, current/future state documentation, problem statements, value framing, MVP boundaries, priority inputs, effort/t-shirt sizing support, and cost/benefit considerations.
  • Help mature the intake-to-discovery process by improving templates, documentation standards, status definitions, criteria for trackable work, handoff expectations, and visibility into request status.
  • Ensure intake artifacts provide enough information for leadership review, prioritization, discovery resourcing, backlog creation, and planning without requiring teams to reinterpret the original business ask.
  • Partner with business teams to identify high-value AI use cases, define business outcomes, and separate practical opportunities from exploratory ideas.
  • Support innovation efforts by helping intake, scope, prioritize, document, test, and communicate AI-enabled solutions.
  • Develop AI project artifacts such as canvases, charters, functional specifications, prompt lists, support models, adoption plans, training inputs, and success measures.
  • Work with technical teams to explore solutions using approved AI tools and platforms, such as Microsoft Copilot, Copilot Studio, Azure AI Foundry, Power Platform, Replit, Claude, or other approved environments.
  • Validate AI-assisted process automation opportunities, including report automation, document review, workflow assistance, knowledge search, agent-enabled support, and business self-service scenarios.
  • Aid in AI agent lifecycle activities, including stakeholder discovery, prompt and knowledge-source definition, testing, production readiness, release communication, feedback tracking, support intake, and continuous improvement.
  • Prepare for and lead backlog grooming/refinement sessions with product owners and scrum teams.
  • Define business-driven acceptance criteria detailed enough for the team to determine when the work is complete.
  • Create and maintain work items in the appropriate project management and DevOps tools, including linking related PPM, ADO, SharePoint, and support artifacts where applicable.
  • Use intake and discovery outputs to create strong problem statements, user stories, PBIs, bugs, decision records, and backlog items that reduce rework and improve delivery readiness.
  • Lead or support User Acceptance Testing (UAT) and Change Request Process (CRP) activities by coordinating with SMEs, product owners, technical training, and scrum teams on test cases, test scenarios, issue tracking, and retesting.
  • Assist with post-deployment activities, including issue triage, defect research, production bug diagnosis, root-cause analysis, and handoff to Application Support.
  • Document system configurations, expected behavior, support procedures, FAQs, troubleshooting steps, and training content.
  • Develop adoption materials that help users understand new systems, process changes, and AI-enabled capabilities.
  • Aid in establishing practical support paths for AI tools and agents, including request categories, escalation paths, documentation needs, and service expectations.
  • Anticipate, identify, and escalate issues, risks, blockers, support gaps, data concerns, security considerations, and adoption challenges.
  • Promote the use of the Software Development Lifecycle and established internal IT processes while helping adapt those processes for emerging AI and low-code/no-code delivery models.
  • Contribute to strong team morale, positive stakeholder relationships, and a culture of practical experimentation, responsible innovation, intake discipline, and continuous learning.

Qualifications

  • Strong business analysis skills, including elicitation, facilitation, process mapping, requirements definition, user story writing, and acceptance criteria development.
  • Strong understanding of project intake, portfolio funnel management, canvas facilitation, charter development, discovery readiness, intake governance, and project handoff practices.
  • Ability to evaluate incoming requests for business value, urgency, readiness, stakeholder alignment, technical dependency, support impact, regulatory/compliance drivers, and appropriate delivery path.
  • Comfort working in PPM, SharePoint/Teams project intake folders, Azure DevOps, and related tools to maintain accurate intake status, documentation links, backlog traceability, and decision history.
  • Ability to define and improve intake KPIs such as first BSA touchpoint, canvas completion, backlog readiness, first-touch PBI quality, and request aging.
  • Ability to work with cross-functional teams in a fast-paced Agile/Scrum or DevOps-oriented environment.
  • Strong communication skills with the ability to explain technical concepts in business language and business needs in delivery-ready language.
  • Advanced problem-solving skills, curiosity, critical thinking, and the ability to ask strong questions that reveal risks, dependencies, gaps, and future-state opportunities.
  • Practical understanding of AI concepts, including generative AI, AI agents, prompt engineering, knowledge sources, retrieval, model limitations, output validation, governance, and adoption considerations.
  • Comfort experimenting with approved AI tools to improve delivery, automate repetitive work, draft artifacts, analyze information, and accelerate discovery while maintaining accountability for accuracy and quality.
  • Proficiency in Microsoft 365, Teams, SharePoint, Excel, PowerPoint, Word, OneNote, Azure DevOps, and related collaboration tools.
  • Experience with D365 Finance & Operations, Power BI, Power Platform, Copilot Studio, Azure AI Foundry, SQL, or ServiceNow is preferred.
  • Preferred AI, intake, and business innovation experience, including hands-on experience helping business teams move from idea to practical solution through structured intake, canvas, charter, discovery, prioritization, and delivery readiness.
  • AI experience may include facilitating AI use case discovery, building or supporting prototypes, creating prompt libraries, documenting agent requirements, supporting AI adoption, defining support models for agents, or improving manual business processes through Copilot-enabled workflows.
  • Examples of relevant work may include owning the intake path for new technology requests, defining AI use cases with business partners, reducing manual effort in recurring reports, data preparation, document review, workflow routing, and knowledge retrieval, and creating reusable discovery, canvas, charter, functional specification, prompt, training, support, and handoff templates for AI-enabled work.

Benefits

Salary range: $70,000-$92,000 annual salary plus non-guaranteed annualized bonus program.

Pay

$80,000-100,000 annual salary plus non-guaranteed annualized bonus program.
