About the role
Paradigm Max Q is seeking a highly organized, analytical, and execution-focused Business Operations Specialist to support the Chief of Staff in driving enterprise execution across the company. This position is responsible for coordinating executive priorities, strategic initiatives, organizational governance, performance reporting, and cross-functional business operations. The successful candidate will serve as an enterprise integrator, ensuring executive decisions are translated into measurable actions while improving accountability, organizational effectiveness, and execution across the business. This is a professional business operations role—not an administrative support position.
Responsibilities
- Enterprise Business Operations
- Coordinate execution of enterprise priorities established by Executive Leadership.
- Track strategic initiatives, executive action items, and organizational decisions through completion.
- Identify execution risks and elevate issues requiring leadership attention.
- Support enterprise integration efforts across all functional organizations.
- Executive Operations & Governance
- Coordinate the executive operating rhythm including Executive Leadership Team meetings, Senior Leadership Team Meetings, Monthly Program Management & Portfolio Reviews, Quarterly Program Execution Reviews, and executive planning sessions.
- Develop agendas, briefing materials, executive presentations, action logs, and decision records.
- Ensure timely follow-up and accountability for executive commitments.
- Performance Management
- Coordinate departmental KPIs, executive dashboards, and organizational performance reporting.
- Partner with Finance, HR, Program Management, Contracts, IT, and Business Development to collect and validate enterprise metrics.
- Analyze trends and prepare executive summaries supporting informed decision-making.
- Strategic Planning & Process Improvement
- Support development and execution of strategic plans and annual operating objectives.
- Coordinate cross-functional initiatives that improve organizational effectiveness and operational efficiency.
- Document, standardize, and continuously improve business processes and governance.
- Executive Communications
- Prepare executive correspondence, briefing papers, presentations, reports, and leadership communications.
- Maintain professionalism, discretion, and confidentiality while interacting with senior leaders, customers, and employees.
Qualifications
- Bachelor's degree in Business Administration, Management, Organizational Leadership, Project Management, Public Administration, or related field, or equivalent experience with 10-15 years of total experience.
- Minimum five (5) years supporting business operations, executive operations, project management, consulting, or government contracting.
- Demonstrated ability to manage multiple priorities, communicate effectively with senior leaders, and exercise sound judgment in a fast-paced environment.
Preferred Qualifications
- Experience supporting Executive Leadership Teams or a Chief of Staff.
- Experience in Department of Defense or Federal Government contracting.
- Knowledge of strategic planning, organizational governance, and performance management.
- PMP, CAPM, Lean Six Sigma, or similar professional certification preferred.
- Experience supporting a rapidly growing small business environment.

Pay
Salary Range (DMV Market): $115,000 annually–$150,000 annually. Compensation is determined based on the employee's primary work location, applicable labor market, experience, education, certifications, security clearance, and other job-related factors. Candidates working outside the DMV may receive a different salary range consistent with local market conditions and applicable law.
Primary Location: Stafford, VA (Hybrid)
