Responsibilities

  • Monitor distribution and central inboxes, reviewing and triaging incoming emails daily.
  • Categorize and assign requests appropriately, flagging urgent or high-priority items for immediate attention.
  • Process simple access requests and manage internal service tickets, including submission, tracking, and follow-up.
  • Escalate complex issues to appropriate teams as needed.
  • Support user access requests, encompassing setup, tracking, and follow-up procedures.
  • Administer new hire onboarding processes, including scheduling, access provisioning, distribution of welcome materials, and required ticket submissions.
  • Support onboarding administration, including meeting scheduling, invitations, and follow-ups.
  • Assist with departure processes, including follow-up, entitlement removals, and related ticket submissions.
  • Provide administrative support for access evaluation activities, including quarterly evaluations, tracking, and responding to routine queries.
  • Escalate market data platform and broker entitlement queries.
  • Track and ensure the completion of entitlement-related requests.
  • Reconcile vendor user lists against internal data records.
  • Update data quality dashboards and relevant internal systems.
  • Identify and correct data discrepancies to maintain high data accuracy.
  • Track vendor and decommissioning actions.
  • Schedule vendor demonstrations and training sessions, managing all associated logistics.
  • Track new and ongoing trials, maintaining accurate trial records.
  • Support renewal and pricing administration tasks for vendors.
  • Manage the renewal process for invoice-eligible providers, confirming user feedback and renewal requirements.
  • Reconcile user lists with vendors and coordinate handoff to the internal payments processing team.
  • Document renewal activities in internal systems.
  • Support Relationship Managers and assist with administrative project tasks.
  • Maintain documentation and operational processes.
  • Provide team coverage as needed to ensure continuous support.

Requirements

  • Proven experience in an administrative or business operations support role.
  • Exceptional organizational and time management skills, with a demonstrated ability to prioritize and manage multiple tasks efficiently.
  • Meticulous attention to detail, ensuring accuracy in data, records, and administrative processes.
  • Proficiency in managing email correspondence, triaging requests, and categorizing information effectively.
  • Experience with ticketing systems and tracking requests through to completion.
  • Ability to support onboarding and offboarding procedures, including access setup and administrative coordination.
  • Experience with data quality initiatives, including reconciling information and resolving discrepancies.
  • Strong communication and interpersonal skills, capable of coordinating effectively with internal teams and external vendors.
  • Demonstrated ability to work independently, take full ownership of responsibilities, and identify when to escalate complex issues.

Pay

The target hiring compensation range for this role is $43 to $47 per hour. Compensation is based on several factors including, but not limited to, education, relevant work experience, relevant certifications, and location.
