About the role
Space Coast Healthcare & Rehabilitation is seeking an experienced, organized, and motivated Business Office Manager to oversee the daily administrative and financial operations of our skilled nursing and rehabilitation center. This is a key leadership position responsible for ensuring efficient business office operations, supporting facility leadership, maintaining accurate financial records, and providing exceptional service to residents, families, employees, and external partners.
Responsibilities
- Serve as a central communication hub between the Administrator and facility departments
- Provide administrative support to facility leadership and department managers
- Schedule meetings and coordinate communications with government agencies, insurance providers, and third-party payors
- Serve as a liaison between residents, families, insurance companies, and external organizations
- Oversee front desk and reception operations to ensure a professional and welcoming environment
- Manage business office functions, including accounts payable, accounts receivable, resident trust accounts, and billing support
- Coordinate payroll processes and maintain accurate payroll documentation
- Support Human Resources with employee onboarding, personnel records, benefits administration, and compliance requirements
- Manage workers’ compensation, FMLA, disability claims, and employee leave processes
- Conduct weekly business errands, including bank deposits and post office visits
- Prepare reports, maintain accurate records, and assist with special projects
- Ensure compliance with facility policies and applicable state and federal regulations
- Identify opportunities to improve business office processes, accuracy, and operational efficiency
Requirements
- Minimum of 2 years of Business Office Manager experience in a skilled nursing facility, long-term care, rehabilitation center, or healthcare setting
- Strong knowledge of accounts receivable, accounts payable, payroll, and healthcare financial operations
- Experience with Medicare, Medicaid, managed care plans, and insurance billing preferred
- Ability to review financial reports, identify discrepancies, and recommend operational improvements
- Proficiency with Microsoft Office Suite and healthcare management software
- Excellent organizational, communication, and customer service skills
- Strong attention to detail and ability to manage multiple priorities
- Ability to work independently while collaborating effectively with an interdisciplinary team
