About the role
The Business Office Manager is an important member of our leadership team and helps ensure efficient operations, regulatory compliance, accurate reimbursement, and a positive experience for our residents, families, and employees.
Responsibilities
- Manage billing for Medicare, Medicaid, commercial insurance, and private-pay accounts, ensuring accurate and timely reimbursement.
- Oversee accounts receivable, collections, billing inquiries, reconciliations, and outstanding balances.
- Manage accounts payable, vendor invoices, payment processing, purchasing, and related recordkeeping.
- Monitor revenue, expenses, budgets, and financial performance while helping identify opportunities for cost control.
- Coordinate financial reporting, audits, and regulatory requirements.
- Manage payroll processes, including timekeeping, payroll processing, deductions, and related documentation.
- Support human resources functions, including recruitment, onboarding, benefits administration, employee relations, performance management, and training.
- Maintain accurate and confidential employee and personnel records.
- Serve as a resource for employees regarding payroll, benefits, and HR-related questions.
- Ensure accurate and timely submission of claims and assist with resolving billing discrepancies, denials, coding concerns, and appeals.
- Stay current on healthcare billing regulations, reimbursement requirements, and payer guidelines.
- Coordinate purchasing of supplies, equipment, and services while monitoring expenditures and vendor agreements.
- Prepare required reports and data submissions for regulatory agencies, payers, and accrediting organizations.
- Partner with leadership and department heads to strengthen policies, procedures, internal controls, and regulatory compliance.
- Assist residents and families with billing questions, financial matters, and available assistance programs.
- Promote teamwork, professionalism, and open communication across departments.
- Perform other duties as assigned.
Requirements
- 2–3 years of experience in healthcare billing, accounts receivable, payroll, financial management, or a related field.
- Long-term care, skilled nursing, senior living, or other healthcare experience preferred.
- Knowledge of Medicare, Medicaid, commercial insurance, healthcare reimbursement, and third-party payer processes.
- Understanding of human resources practices, employment requirements, and regulatory compliance.
- Proficiency with accounting and payroll systems and Microsoft Office, particularly Excel and Word.
- Familiarity with electronic health records (EHR) and healthcare information technology is preferred.
- Strong attention to detail, analytical thinking, and problem-solving skills.
- Excellent communication, interpersonal, and customer service skills.
- Ability to prioritize competing responsibilities and meet deadlines in a fast-paced environment.
