About the Role

The Business Manager II is responsible for the full range of school administrative functions. At this level, school administrative responsibility may be delegated by the principal to assist in finance, facilities, purchasing, communications, and personnel. The business manager may supervise most or all support staff positions.

Responsibilities

  • Responds to specific and routine work assignments, as well as special projects from the Principal, necessitating great attention to detail, priority, and deadlines.
  • Provides regular status updates on projects and estimated timelines for completion to the Principal and/or Pastor.
  • Demonstrates a positive, friendly, respectful, and caring attitude with colleagues, the public, and all served, projecting a welcoming atmosphere.
  • Works collaboratively with the parish business manager, parish personnel, and volunteer committees in a respectful, team environment.
  • Serves as a strategic partner with the School Principal and Pastor for the short/long-term financial strategy and growth of the school.

Financial Responsibilities

  • Assists the principal in ensuring sound financial management, including budget development and monitoring, timely reporting to the diocese and government agencies, and oversight of deposits, disbursements, and fundraising activities.
  • Seeks approval from the Principal and/or Pastor for financial transactions in compliance with diocesan policies.
  • Creates, reviews, and presents accurate budgets and financial reports to the Principal, Pastor, and volunteer councils/committees.
  • Acts as a liaison with the diocese and other entities regarding fiscal responsibilities.

Personnel Responsibilities

  • Assists the Principal in recruiting, hiring, and dismissing employees with guidance from the diocesan Human Resource Department.
  • Supervises school employees as assigned by the Principal, ensuring regular checkpoints and constructive action to meet quality standards and deadlines.
  • Encourages team development, focusing on innovative programs and continuous improvement.
  • Conducts annual performance reviews and sets goals for team members.
  • Creates and updates the school employee handbook in consultation with the Principal and diocesan HR, ensuring legal review.
  • Provides orientation for new employees, including handbook review, paperwork, I-9 verification, payroll forms, background checks, and Protecting God’s Children workshop.
  • Maintains position descriptions and personnel evaluations.

Administrative Responsibilities

  • Coordinates staff and volunteer participation in planning and operational meetings, ensuring the Principal is fully informed.
  • Maintains accurate school and facilities records, including repair, construction, and financial documentation.
  • Serves as the school’s benefits administrator, coordinating insurance and other benefit programs.
  • Ensures compliance with diocesan policies, including the Protected Self Insurance Program.
  • Attends diocesan workshops to stay updated on policies, procedures, and best practices.
  • Performs other related duties as assigned by the supervisor.

Requirements

  • BA/BS degree in Business, Finance, Accounting, Human Resources, or a related discipline from an accredited college (preferred).
  • Knowledge of budgeting principles, accounting practices, and financial reporting using cash basis and modified accrual accounting.
  • Ability to read and analyze financial statements.
  • Moderate to high proficiency in accounting software, Microsoft Excel, Word, PowerPoint, and Outlook.
  • Successful experience in a supervisory capacity.
  • Forward-thinking, team-oriented, proactive, and collaborative with internal and external stakeholders.
  • Proven ability to lead and motivate teams, with a leadership style that is approachable, engaging, and results-driven.
  • Ability to develop and maintain positive relationships at all levels.
  • Strong interpersonal, written, and verbal communication skills, including the ability to produce clear reports and presentations.
  • High degree of professionalism, credibility, and confidentiality.
  • Ability to organize, prioritize, and manage multiple tasks with accuracy and attention to detail.
  • Familiarity with technology and its creative use to improve school efficiency.
  • Practicing Catholic preferred; ability to respect, promote, and align with the mission and teachings of the Roman Catholic faith.
  • Must pass a Safe Environment background check prior to employment and every five years.
  • Maintains a valid driver’s license.

Skills

  • Ability to read, analyze, and interpret business periodicals, professional journals, technical procedures, and governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to present information and respond to questions from managers, clients, vendors, employees, and the public.
  • Proficiency in basic mathematical operations, including computing rates, ratios, percentages, and interpreting graphs.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to interpret technical instructions and deal with abstract and concrete variables.

Physical Demands

  • Regularly required to stand, walk, sit, use hands, reach with hands and arms, climb or balance, stoop, kneel, crouch, or crawl.
  • Must regularly lift and/or move up to 30 pounds.
  • Requires close vision, distance vision, and the ability to adjust focus.

Working Conditions

  • Moderate noise level in the work environment.
  • May require some evening and weekend hours.
