About the role

This role supports a growing pipeline of public sector and enterprise opportunities in Hawaii. It sits within the Business Development function and focuses on coordination, documentation, and operational execution across opportunities.

Responsibilities

  • Opportunity & Pipeline Coordination: Maintain and update the Business Development pipeline across tools like NetSuite, Smartsheet, or similar systems. Ensure opportunities are accurately tracked, including stage, owner, estimated value, and key dates. Provide clear visibility into pipeline status for leadership and cross-functional teams.

  • Cross-Functional Coordination: Coordinate across Business Development Leads, PMO/Delivery teams, Technical teams, Finance and Resource Management. Schedule and manage working sessions, validation checkpoints, proposal and pursuit timelines.

  • Proposal & SOW Support: Draft and edit proposal materials, including RFP responses, Statements of Work (SOWs), and supporting documentation. Assist with drafting sections of SOWs (scope, assumptions, structure) and editing content for clarity, structure, and consistency. Maintain version control and ensure alignment across contributors. Coordinate submission timelines and compliance requirements.

  • Client Interaction Support: Participate in select client meetings alongside Business Development Leads. Support note-taking and follow-up actions, clarification of scope and requirements, and coordination of next steps. Assist with gathering and documenting client requirements as needed.

  • Handoff Preparation: Prepare and organize handoff materials, including scope summaries, assumptions and constraints, key risks and dependencies. Ensure required information is captured prior to handoff. Support coordination of formal handoff sessions with delivery teams.

  • Process & Operational Support: Help standardize and improve Business Development workflows. Identify inefficiencies and recommend process improvements. Support adoption of tools and best practices across the Business Development team.

  • Reporting & Insights: Generate reports on pipeline status, opportunity progression, and key performance metrics. Support data accuracy and consistency across systems.

Qualifications

  • Based on Oahu, Hawaii: 2–5 years of experience in one or more of the following: Operations, Project coordination, Program support, Consulting. Strong organizational and coordination skills. Ability to manage multiple workstreams simultaneously. Strong written communication skills, particularly for documentation and proposals.

  • Preferred Qualifications: Experience supporting Business Development or Sales Operations, Proposal and RFP processes, SOW drafting or editing, Project Management or PMO environments. Familiarity with tools such as Smartsheet, NetSuite or similar CRM/ERP platforms, Microsoft Office and/or Google Workspace.
