About the role
The client supports IT systems and applications for 15 agencies. A key agency manages Commonwealth taxes and child support, aiming for full compliance with tax, child support, and municipal finance laws. This agency is migrating all files from network file shares to SharePoint. The SharePoint Business Analyst will scope the business and application impact of migrating these files to OneDrive and SharePoint, determining the SharePoint models that meet the agency’s business and functional needs.
Responsibilities
- Provide clear, concise, and thorough analysis in formats such as use cases, application inventories, application functions accessing network drives, and SharePoint models, ensuring integration across business units.
- Analyze network shares, security groups, and user permissions.
- Review project artifacts prior to conducting business unit interviews.
- Publish interview topics and questions before each interview.
- Conduct structured interviews with subject matter experts from each agency and client IT business unit to identify current processes and use cases for user and shared network drives.
- Document all subject matter interviews, gather feedback, and compile relevant requirements and business processes.
- Schedule and conduct requirements reviews, design, and status meetings with project team members.
- Participate in reviews of proposed use cases and requirements, explain functionality, highlight problem areas, gather feedback, revise design artifacts, and obtain approval.
- Create and maintain all required artifacts in a SharePoint site.
- Participate in developing SharePoint proposed solutions and provide rationale for each.
- Propose a high-level SharePoint security group model and coordinate with the CISO office.
- Discover and document applications accessing network shares (read/write) and staff use cases for this information.
- Assist in developing an enterprise architecture of SharePoint sites used for file storage.
- Review and update SharePoint governance documents.
- Participate in senior management briefings on findings and recommendations for SharePoint models.
- Use Jira to document user stories, use cases, and tasks.
Requirements
- Minimum of 5 years as a business analyst with experience in:
- Microsoft 365 SharePoint Online (demonstrable hands-on experience).
- At least 2 years of SharePoint experience in an enterprise environment.
- Migrations of network shared files to SharePoint.
- Three to five years of experience in:
- Business requirements gathering, development, and documentation.
- Development and maintenance of design artifacts such as use cases, business process models, requirements documents, and SharePoint models.
- Excellent analytical, problem-solving, written, and verbal communication skills, with the ability to communicate at all organizational levels.
- Proven ability to identify and formalize business needs, converting them into use cases and requirements.
- Strong customer service skills and ability to set priorities in a fast-paced environment.
- Extensive background in collaborative, team-run environments.
- Good judgment and discretion in handling sensitive situations.
- Proficiency in Visio and PowerPoint.
- Bachelor’s degree in Information Technology or a related discipline (equivalent work experience considered).
