About the role
The Branch Administrator oversees all district staffing and recruiting activities, maintains office supplies and equipment, and coordinates general office tasks as needed. They also manage human resources activities including assisting with new and returning employee paperwork, recruitment, orientation, and training of seasonal staff.
Responsibilities
- Maintain office supplies and equipment.
- Understand and utilize SalesForce and Viaseys Database to support the Operation Manager’s District annually.
- Assist with Human Resources activities:
- Aid in collecting all new and returning employee paperwork.
- Support recruitment, orientation, and training of seasonal staff (may require some weekends).
- Assist seasonal staff with electronic onboarding.
- Engage with safety, work rules, and regulations to maintain housekeeping standards.
- Train and track safety rules and compliance for employees within the district.
- Train and administer policies and procedures.
- Coordinate and schedule district required training in and out of the season.
- Manage pre-season and post-season review and photography.
- Update route books, customer scopes, and maps.
- Load storm data and paperwork post-storm into shared files.
- Pre-season and post-season review and photography.
- Load pictures and inspection data into Post Season Cases.
- Manage asset and parts tracking and accountability.
- Invoice flow and DVIR organization.
- Heavily involved in Service Case flow and completion.
- Cover customer service when necessary.
- Manage A/R activities, including contacting customers and communicating open aging, pulling invoices out of NetSuite and emailing to customers.
- Have basic knowledge and understanding of NetSuite, including ability to pull and email invoices, and understanding of billing processes.
- Handle insurance/COI requests as needed.
- Manage attendance sheets/calendar (sick and vacation).
- Enter cases pertaining to maintenance/enhancements and irrigation.
Qualifications
- High school diploma or G.E.D. equivalent.
- Proficient in use of general office equipment (fax and copy machine).
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Discretion and trustworthiness due to access and assistance with confidential information.
- Excellent communication, time management, and organizational skills.
