About the role
The Bookkeeper will provide transactional bookkeeping and financial administration support across a rental trust portfolio of approximately 200 properties. This role supports accounts payable, accounts receivable, rent receipt processing, rent runs, owner payouts, invoice processing, reconciliations, property finance administration, and general bookkeeping tasks.
Responsibilities
- Process rent receipts and conduct rent runs, including rent roll processing, twice per week.
- Prepare and process owner payouts in accordance with management agreements and trust account requirements.
- Process supplier and property-related invoices, ensuring costs are allocated to the correct property, owner account, general ledger account, or cost centre.
- Match invoices, receipts, payments, and supporting documentation to the relevant property and owner account.
- Support accounts payable processing, including invoice entry, payment preparation, supplier records, and payment queries.
- Support accounts receivable processing, including receipting, tenant, owner, or customer account updates, and payment allocation.
- Support trust account reconciliations and balancing under the guidance of the Trust Accountant.
- Assist with bank reconciliations, month-end support, finance reporting, and general bookkeeping tasks where required.
- Liaise with property management staff to resolve discrepancies, missing information, payment queries, and property-related finance issues.
- Maintain accurate records, audit trails, documentation, and filing to support compliance and internal controls.
- Support compliance with Victorian trust accounting and real estate regulatory requirements.
- Assist the Trust Accountant by taking on high-volume transactional trust processing, allowing them to focus on more technical corporate and trust accounting work.
- Communicate professionally with suppliers, owners, property stakeholders, and internal teams regarding payments, accounts, and finance queries.
- Support system data accuracy across finance and property management platforms, including MYOB, Xero, Property Tree, Invoice Automate, or similar systems.
- Provide flexible support across both business units as workload priorities shift.
- Assist with process improvements to support business growth, finance efficiency, and development activity.
- Other position-level duties as they arise.
Requirements
- Certificate IV in Accounting and Bookkeeping, Diploma, Bachelor’s Degree, or similar qualification in Accounting, Bookkeeping, Finance, Business, or a related discipline is preferred.
- 3+ years’ experience in bookkeeping, accounts, finance administration, accounts payable, accounts receivable, or a similar finance support role.
- Strong accounts payable experience, ideally within a high-volume processing environment.
- Experience with accounts receivable processing, payment allocation, reconciliations, and finance administration.
- Working knowledge of MYOB and/or Xero.
- Experience with trust accounting, rent rolls, property management finance, or real estate finance is highly regarded but not essential.
- Experience supporting Australian, New Zealand, or broader APAC finance processes is advantageous.
- Understanding of bookkeeping principles, reconciliations, supplier payments, owner payments, invoice processing, and accurate record keeping.
- Experience with Property Tree and/or Invoice Automate is desirable.
- Experience working in property development, real estate, construction-related, or property management businesses is advantageous.
- Strong attention to detail, with a focus on compliance, accuracy, audit trails, and well-maintained financial records.
- Ability to manage competing priorities across two business units and recurring finance deadlines.
- Strong organisational and time management skills.
- Confident written and verbal communication skills for working with internal teams, suppliers, owners, and property stakeholders.
- Proactive, reliable, process-driven, and able to work with minimal supervision.
- Positive, solution-oriented, and willing to support wider finance and operations functions where required.
