About the role
The Supervisor – Billing is responsible for supervising and training Billing Clerks on bill-of-lading entries into AS400, assisting with customer rates, and other administrative duties. This role focuses on enhancing processes to improve department efficiency and accuracy, while maintaining communication with the Pricing Department to address rate discrepancies.
Responsibilities
- Supervise daily activities of billing personnel.
- Advise pricing of rate discrepancies in the AS/400 auto rating system.
- Update Customer Account Master (e.g., salesperson’s rates, publications, bill-to numbers, and addresses).
- Respond to emails from internal and external customers professionally.
- Research and reconcile rates through crediting and rebilling customer accounts.
- Distribute workflow among billing clerks and assist team members as needed.
- Provide training for new hires and ongoing training for existing billing clerks.
- Assist Collections, AR, and Billing Departments with customer contractual requirements and rate scales.
- Support Sales Representatives and external customers regarding rate scales.
- Conduct annual performance evaluation reviews for all direct reports.
- Approve and monitor employee timecards.
- Bill from Salvage portal and Credit and Rebill queue.
- Maintain the imaging system and ensure manual indexing is up to date.
- Make decisions aligned with XGS Core Values.
- Troubleshoot technical and system issues.
- Develop billing personnel for continued growth and understanding of the broader impact of their role.
- Multitask effectively.
- Perform other duties as assigned.
Requirements
- 1+ years of relevant billing experience, preferably in the transportation industry.
- High School Diploma or GED equivalent.
- Proficiency in MS Office software (Word, Excel).
- Able to type 40 WPM / 12,000 KPM.
- Strong written and verbal communication skills.
- 1+ years of supervisory experience preferred.
Work Environment
Most work is conducted in a comfortable office environment, though occasional exposure to site conditions may occur. Personal protective equipment must be worn in designated areas. While the role is not inherently dangerous, caution is required during onsite services.
