Billing Specialist

We are looking for a Billing Specialist to support accurate invoicing and responsive billing operations for our office. This fully on-site role is ideal for someone who is organized, detail-focused, and comfortable communicating with customers and internal teams about account activity. The position plays an important part in maintaining timely billing cycles, addressing payment-related questions, and helping keep receivables reporting current and reliable. Responsibilities: • Prepare recurring monthly invoices and complete scheduled weekly billing activities with a high level of accuracy. • Respond to customer questions related to charges, statements, and account details in a detail-focused and timely manner. • Investigate billing discrepancies and work with appropriate parties to resolve invoice and collection disputes. • Maintain accounts receivable records and compile routine weekly and monthly reporting for billing activity and outstanding balances. • Review billing data for completeness and consistency before issuing statements to clients. • Support day-to-day administrative billing tasks while helping ensure deadlines and service expectations are met. • At least 1 year of experience in an accounting support, billing, or office administration role. • Some college coursework is preferred, though not required. • Prior exposure to time-and-billing processes within a services environment that requires attention to detail is an advantage. • Strong written and verbal communication skills with the ability to handle customer inquiries effectively. • Proficiency in Microsoft Office applications, including Outlook and Excel. • Ability to learn new systems, processes, and software tools quickly. • Experience with Deltek Vantagepoint is a plus.
