About the role
The Billing Specialist will prepare and manage client invoices for legal services provided by the firm’s attorneys, ensuring accuracy, compliance, and timely processing.
Responsibilities
- Prepare monthly client invoices for assigned attorneys, including necessary revisions, adjustments, and supporting documentation.
- Review, edit, and finalize time and cost entries to ensure accuracy, compliance with billing guidelines, and timely invoice processing.
- Investigate and resolve client billing inquiries in a timely, professional manner.
- Maintain accurate client billing notes, special billing arrangements, and invoice instructions.
- Monitor and assist with a shared billing team mailbox, ensuring requests are reviewed, routed, and resolved appropriately.
- Manage attorney and client billing rates, including updates, review, and coordination with internal teams as needed.
- Oversee the e-billing process for electronically billed clients to confirm successful invoice submission, troubleshoot rejections, and resolve submission issues.
- Set up new clients for e-billing platforms, including Legal Tracker/Serengeti, Tymetrix T360, CounselLink, eBillingHub, and other client-required systems.
- Exercise discretion and maintain confidentiality when handling client, attorney, and firm billing information.
- Support additional billing-related duties, process improvements, and special projects as assigned.
Requirements
- At least 2 years of billing experience, preferably in a law firm or professional services environment.
- Experience with Aderant-Expert Sierra software preferred.
- Two-year degree preferred.
- Working knowledge of electronic time and billing software and programs.
- Strong organizational and administrative accounting skills.
- Extreme attention to detail and accuracy.
- Superior project management skills to manage a deadline-oriented role.
- Exceptional interpersonal skills, with the ability to interact professionally and effectively with all levels of the firm.
- Strong problem-solving skills.
- Demonstrate a “client first” mentality.
- Valid authorization to work in the US.
