This position leads and plans ground ambulance billing operations in a fully remote work environment, including designing, implementing, and enforcing policies and procedures, and streamlining billing processes across multiple markets.
Responsibilities
- Leads and supports the billing team remotely by recruiting, onboarding, training, scheduling, coaching, and evaluating employees; setting clear expectations; and providing ongoing feedback and performance management through virtual communication tools.
- Meets billing operational standards by contributing billing information to strategic plans and reviews, implementing production, productivity, quality, and customer-service standards; resolving problems; identifying billing system improvements.
- Manages adherence to HIPAA and other governmental regulations, including maintaining a secure remote work environment (encrypted connections, VPN access, multi-factor authentication, and private workspaces free from unauthorized access to PHI).
- Leads in understanding medical terminology and searching provider documentation (Patient Care Reports/PCRs, run sheets, and Physician Certification Statements) to identify diagnoses, conditions, and services rendered, and to assign the appropriate ground ambulance billing codes and modifiers to each claim.
- Maintains accountability to management regarding call volumes, contract volumes, and daily runs held (medics, PCS), tracked through remote-access reporting dashboards.
- Plans and implements quality assurance for all processes, including remote audit procedures to verify accuracy of claim coding, level-of-service determinations, mileage, and medical necessity documentation.
- Leads special program/billing planning and implementation, and performs strategic planning and priority setting for the department.
- Drives process efficiency improvements, including optimizing remote workflows and reducing claim turnaround time.
- Motivates and engages direct reports in a remote or hybrid setting, fostering accountability and team cohesion without in-person oversight.
- Stays current with Medicare/Medicaid guidelines and payer-specific requirements for ground ambulance billing, including medical necessity, origin/destination rules, and the Ambulance Fee Schedule.
- Manages cross-departmental communication using virtual meeting platforms, messaging, and collaborative project management tools, and ensures reliable availability during established remote working hours.
- Adheres to company policies and procedures, including remote work, data security, and equipment use policies.

Requirements
- Associate's Degree preferred, or equivalent and appropriate work experience.
- Five years of Medical Billing Experience, with ground ambulance/EMS billing experience strongly preferred.
- Supervisory experience, including experience managing or supervising remote or distributed teams, preferred.
- CAC (Certified Ambulance Coder) preferred. Certification by the National Academy of Ambulance Coding (NAAC) (in-process acceptable, or must complete within one year of hire after successful completion of the probationary period).
- Demonstrated prior success working in a remote or telecommute position preferred.
Skills
- Excellent analytical, problem-solving, and both written and verbal communication skills, with strong interpersonal skills suited to leading a team remotely.
- Ability to manage multiple projects concurrently and code data to produce and submit claims to Medicare, Medicaid, and commercial payers specific to ground ambulance transport.
- Knowledge of CPT, ICD-10, and HCPCS coding, medical terminology, and ground ambulance-specific billing requirements (levels of service, mileage, origin/destination, and medical necessity documentation).
- Knowledge of HIPAA and other governmental regulations, with particular attention to maintaining PHI security in a remote work environment.
- Proficient in Microsoft Office Suite, data entry, and remote billing/EHR platforms, as well as remote collaboration tools (video conferencing, VPN, messaging, cloud-based document sharing).
- Demonstrated ability to work independently and manage time effectively in a remote setting, with strong self-direction and accountability.
Remote Work Requirements
- Must maintain a dedicated, private, HIPAA-compliant home workspace free from unauthorized access to protected health information (PHI), with reliable high-speed internet meeting minimum company-specified bandwidth.
- Must use company-approved equipment and security measures (VPN, multi-factor authentication, encrypted storage/transmission of billing data), and maintain a suitable ergonomic home office setup.
- Must be available and responsive during designated core business hours and attend scheduled virtual meetings; may be required to travel periodically to company offices or market locations for training, meetings, or on-site audits.
Physical Requirements
- Works around standard home-office conditions, with repetitive keyboard use at a workstation for extended periods, manual dexterity, and the ability to sit for extended periods while communicating via phone and video conferencing.
