About the role
Under the guidance of the Operations Manager, the Billing Coordinator supports technician payroll and billing processing by entering and verifying work order data. This entry-level role focuses on accuracy, learning billing systems, and understanding company and customer requirements.
Responsibilities
- Processes technician work tickets and import labor/materials as needed
- Enters and verifies transactions in billing system
- Processes time in/out from work tickets
- Assigns units worked to labor and material lines
- Ensures that any trip and/or additional fees are assigned correctly
- Prepares work orders (WOs) with accurate descriptions
- Verifies materials match work performed
- Flags billing issues for further review
- Monitors work order status for prompt processing
- Completes assigned Divisions on Overtime/Conflict report
- Adds UPOs (Unapplied Time) to WO transactions and notifies Payroll if late
- Learns to process 2nd approvals and EFS (Executive Facilities Solutions) work orders
- Completes daily invoicing under supervision
- Successfully demonstrates sustained accuracy (e.g., error-free processing benchmarks)
- Ensures all work is completed accurately in compliance with client specifications and company policies
- Works in a professional manner with managers, supervisors, coworkers, customers, and the public
- Other related duties as assigned
Requirements
- Strong attention to detail and commitment to accuracy
- Clear written and verbal communication skills
- Basic to intermediate computer proficiency
- Ability to learn new software and systems
- Minimum 50+ WPM typing
- Ability to work in a fast-paced environment with changing priorities and goals
- Organized, dependable, and self-motivated
- Ability to multi-task and manage assigned priorities
- Works well in a team environment
- Ability to work overtime as needed
- High school diploma or equivalent required; Associates degree highly preferred
- Prior Billing-related experience preferred
- Experience in HVAC Industry, Commercial Kitchen Industry or other service business preferred
- Continuously able to work in office environment
- Able to operate a computer and other office productivity machinery, such as a copy machine, telephone, and computer printer
- Continuously able to sit at a computer for up to 8 hours
- Able to alternate between sitting and standing, as needed throughout the day
- Occasionally able to lift up to 15 lbs.
- Continuously requires vision, hearing, twisting, and talking
- Occasionally requires walking, lifting, carrying, reaching, kneeling, pushing/pulling, bending, and crouching
- Rarely requires climbing
