Billing Coordinator

About the Role

This position is responsible for daily accounting of all freight bills, special billing, and other sundry charges to be billed back to Howmet Aerospace locations utilizing fleet services. In coordination with the HTS team, the role collates and coordinates bills of lading and shipment paperwork into tariff-prescribed charges, disseminating charges between LTL, Full Truckload, and special courier rates as defined by tariffs or agreements with individual facilities.

Responsibilities

• Daily collation of truck-by-truck paperwork into billing packets, including bills of lading, proof of delivery, packing slips, special notes, and any other documentation needed to substantiate invoicing.
• Creating invoices and double-checking special billing and accessorial fees to align with the billing packet for each shipment.
• Daily interface with Dispatch Coordinators and Dispatch Supervisor to verify miles and stops for each shipment.
• Manage Truckmate accessorial charges to ensure they are up to date and current, including protective service, full surcharge, flatbed service fee, and other applicable fees.
• Cross-reference the unbilled report to ensure drivers are turning in paperwork in a timely manner and no invoices are missing or in arrears.
• Communicate daily with drivers, HTS dispatch team, customers, vendors, and other Howmet facilities.
• Compliance with all Howmet policies and procedures, EHS rules, and DOT regulations for over-the-road operations.
• Function as a team member, assist team members when needed, and work under general supervision in a fast-paced environment.
• Assist dispatch team and drivers with billing-related questions and concerns.
• Interact daily with Howmet facilities, suppliers, and customers concerning freight billing questions.
• Invoice all shipments through the Truckmate system per billing rules, approved notes, and all approved surcharges.
• Double-check each day’s invoices for accuracy and post daily billed data into financial spreadsheets for review by management and customers.
• Schedule and coordinate all freight invoicing for internal and external customers of Howmet Transport.
• Review questions and issues with management before completing an invoice for a customer.
• Rebill rental, sub-leased equipment, over-mileage, damage to equipment, and maintenance for plant-owned equipment as directed by management.
• Work directly with Finance to ensure timely and accurate reporting of revenue daily.
• Perform routine special projects as directed.
• Assist with other departmental back-up duties as required.
• Maintain positive customer and supplier relationships.
• Perform other work-related duties as assigned.
• Work overtime as needed.

Requirements

• Minimum of a high school diploma or equivalent.
• 2 years of related experience in transportation billing in an LTL or private carrier environment.
• Legally authorized to work in the United States; verification of employment eligibility will be required at the time of hire. Visa sponsorship is not available for this position.
• Access to export-controlled items; employment offers are conditioned upon the ability to lawfully obtain such access.

Preferred Qualifications

• Bachelor’s degree.
• Strong communication skills, both oral and written, to assist effectively with customers, suppliers, or employees.
• Proficiency with Microsoft Office programs.
• Strong working knowledge of Truckmate and transportation billing.
• Ability to rapidly grasp concepts and understand processes.
• Ability to multi-task, prioritize work assignments, and thrive in a fast-paced work environment.
