We are seeking a Billing Clerk for our Los Angeles office to handle all aspects of processing and distributing the firm’s client invoices.
Responsibilities
- Generates, prints, and delivers month-end proformas as well as on-demand proformas.
- Processes client invoices within the Elite system according to partner instructions and ensures compliance with the firm’s billing policies and procedures.
- Follows up on unbilled time to ensure timely transfer to billable matters.
- Sends invoices electronically via email or third-party vendor.
- Documents and updates billing procedures, including electronic billing processes for each client.
- Assists attorneys, secretaries, and clients with invoice-related inquiries, reprints, cost copies, and detailed or summarized time and cost reports using Elite or Excel.
- Logs in proformas received by the department.
- Supports other departments (accounts payable, accounts receivable, and collections) as needed.
- Contributes to special projects and other duties as assigned.
Requirements
- Bachelor’s degree required; major in Accounting, Finance, or related field preferred.
- One to two years of prior billing experience preferred.
- Knowledge of or experience in the legal industry is a plus.
Skills
- Proficiency in Microsoft Excel and Word required; experience with Outlook and Elite 3E is a plus.
- Typing speed of 40 WPM and ability to perform data entry for extended periods.
- Ability to file alphabetically and numerically.
- Excellent verbal and written communication skills, with the ability to follow complex instructions.
- Strong multitasking and prioritization skills to meet deadlines.
- Initiative to identify process improvements for individual and departmental workflows.
- High attention to detail, producing accurate and neat work consistently.
- Adaptability to new systems, processes, and procedures.
- Prompt and consistent responsiveness to requests from attorneys, clients, vendors, and staff.
- Excellent organizational, tracking, and follow-up skills.
- Ability to identify and escalate problems or deviations from standard practices.
- Discretion and diplomacy in handling sensitive information.
- Professional demeanor when interfacing with attorneys, staff, clients, and vendors.
- Ability to operate standard office equipment, including computers, photocopiers, scanners, and fax machines.
Work Environment and Physical Requirements
- Ability to work overtime on weeknights and weekends as needed.
- Physical requirements include sitting, standing, stooping, and reaching for up to eight or more hours per day.
- Repetitive motions involving wrists, hands, and fingers.
- Infrequent lifting or moving of files or boxes weighing up to 45 lbs.
- Occasional bending, crouching, or kneeling.
Pay
Salary range: $50,000–$65,000 annually, based on experience and education.
