Billing and Finance Assistant

We're looking for a detail-loving, people-first Billing & Finance Assistant to keep our billing and finance operations running smoothly while being a warm, reliable point of contact for the families we serve.

What You'll Do

Membership Portal Management & Customer Service

• Maintain and serve as the go-to person for our membership and parent portal (MyClubHub)
• Manage family accounts and registrations
• Provide friendly, clear support to families with billing questions and walk parents through billing policies and payment options
• Enter membership and attendance data across systems including Kinderconnect, MyClubHub, the Missouri Childcare Subsidy system, and MADS

Billing Coordination

• Own the full billing cycle: invoicing, tracking payments, and reconciling daily transactions
• Follow up on past-due accounts with professionalism and empathy

Finance Support

• Partner with the Finance team on monthly reporting, reconciliations, and audit preparation
• Ensure accurate numbers for grant reporting and food program compliance

What You Bring

• An associate's degree in accounting, finance, business administration, or a related field (bachelor's a plus)
• At least 2 years of experience in billing, finance, or administrative support — nonprofit or youth-services experience is a bonus
• Comfort with Microsoft Office, especially Excel; billing or accounting software experience is a plus
• A knack for staying organized and juggling multiple priorities without missing a beat
• Excellent communication skills and a genuine customer-first mindset
• Discretion and integrity when handling sensitive financial information
