Responsibilities

  • Greets and registers patients, collecting accurate demographic and insurance information in athenahealth, and processes first-time Self Declare for the reduced fee program following established policies.
  • Maintains confidentiality of medical information and assists patients by delivering excellent customer service while ensuring problem resolution.
  • Reviews and prints provider schedules for the following day; prepares documents for next-day appointments, including patient demographics, insurance information, necessary forms, and pre-visit eligibility tasks.
  • Schedules patient appointments within established guidelines and ensures full coverage of front-desk responsibilities.
  • Answers telephones, routes callers, takes messages, and provides routine information.
  • Performs end-of-day tasks and reconciles cash drawers.
  • Maximizes collections at time of service and researches billing-related questions with assistance from the billing department.
  • Demonstrates working knowledge of health insurances and payer types.
  • Processes and classifies documents in the clinical inbox in athenahealth.
  • Schedules and reschedules appointments in the workflow dashboard following established guidelines.
  • Collects, sorts, and distributes mail for the office.
  • Processes forms and documents received from patients in a timely manner.
  • Follows release of information process and prepares paper charts for HealthPort representatives as needed.
  • Complies with all HIPAA rules and regulations.
  • Documents patient complaints and incidents as necessary.
  • Attends and actively participates in departmental/organizational meetings as required.
  • Performs all other duties as assigned.

Requirements

  • High School Diploma or GED, or equivalent combination of training and experience.
  • Ability to communicate fluently in both English and Spanish (or other language), verbally and in writing, to perform essential functions, including direct communication with patients, providers, and staff, accurate documentation in the electronic health record, and interpreting written and verbal communications in both languages.
  • Knowledge of grammar, spelling, and punctuation for correspondence necessary to perform job functions.
  • Basic arithmetic skills for calculations, balancing, reconciling figures, and making change accurately.
  • Excellent customer service skills.
  • Ability to critically think, understand logical connections, and evaluate arguments.
  • Skill in operating office equipment.
  • Ability to work in and respond to a demanding environment.
  • Ability to communicate in a caring and supportive manner with individuals of all backgrounds.
  • Strong attention to detail and ability to work efficiently and accurately.
  • Ability to sort and file materials correctly by alphabetic or numeric systems.
  • Ability to establish and maintain effective working relationships with patients, employees, and the public.
  • Organizational skills to juggle multiple competing tasks, follow up proactively, and maintain follow-through.
  • Adherence to all Family First Health policies, processes, and procedures, including Code of Conduct, Workplace Conduct, and Remote/Telework Policy if eligible.
  • Ability to articulate and advocate Family First Health’s mission and values.
  • Ability to maintain required clearances.
