About the Role
The Customer Care Specialist performs routine clerical, secretarial, and administrative tasks to answer inquiries and provide information to the public, customers, visitors, and other interested parties regarding company activities and services.
Responsibilities
- Operates telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments
- Sets up and maintains the coffee station for customers, including cleaning dispensers, preparing coffee, and ensuring supplies (cups, sugar, utensils) are available
- Ensures the reception area is clean and presentable at all times; occasionally disposes of trash
- Greets persons entering the establishment, determines the nature and purpose of their visit, and directs or escorts them to specific destinations
- Schedules appointments and maintains and updates appointment calendars
- Hears and resolves complaints from customers or the public
- Files and maintains records
- Performs administrative support tasks, such as proofreading, transcribing handwritten information, or operating calculators/computers to work with pay records, invoices, balance sheets, or other documents
- Supports several departments with photocopying, filing, and diverse projects using Microsoft Word and Excel
- Logs, scans, and files enrollment applications as needed
- Transmits information or documents to customers using computer, mail, or facsimile
- Analyzes data to determine answers to questions from customers or members of the public
- Collects, sorts, distributes, or prepares mail, messages, or courier deliveries
- Manages traffic flow of clients in the absence of a supervisor or office clerk (verifies appointment times and directs customers to the proper staff member)
- Collaborates across all departments and functional levels of the organization, adapting to its needs
Requirements
- Minimum of a High School diploma or equivalent; some college preferred
- At least two (2) years of administrative and clerical experience
- Ability to handle multiple tasks simultaneously
- Strong verbal and written communication skills, active listening, and customer service abilities
- Proficiency in organizing, planning, attention to detail, initiative, and reliability
