About the role
The Benefits Coordinator administers the employee benefit program for contracted, non-contracted, and retirees; monitors benefit costs; audits transactions with providers; serves on and makes recommendations to the District Benefits Committee; ensures compliance with state and federal regulations; and acts as the employer representative for employee benefit questions and concerns.
Responsibilities
- Administers employee benefit program compliance with carrier contracts, including overseeing enrollment of new employees, explaining benefit options, conducting benefit fairs, mediating eligibility and payment issues, and collaborating with insurance agencies to resolve claim disputes and policy implementation.
- Assists covered employees, beneficiaries, and insurance providers to verify eligibility, convey information, and process claims.
- Monitors employee performance, including hiring, training, and evaluating staff to ensure effective department operation.
- Conducts regular and follow-up presentations for employees on privacy laws, record-keeping requirements, benefits, retirement, and flexible spending, addressing raised concerns.
- Counsels employees on benefit issues and options, such as retirement planning, coverage changes, death benefits, HSA plans, flexible spending, STD, LTD, FMLA, and military leave.
- Develops program administrative procedures and recommendations to document and improve practices for efficient, cost-effective, and compliant benefit delivery.
- Directs assigned employees to oversee workload, ensure accuracy, and maximize efficiency in benefit program services.
- Manages annual enrollment, including planning and conducting open enrollment and informational meetings to ensure employees understand available options.
- Oversees development of communication pieces, such as the Insurance Newsletter and announcements, to inform employees and retirees about benefit changes and procedures.
- Oversees benefit information, including provider contracts, employee records, and Affordable Care Act reporting, to ensure availability as needed.
- Participates in meetings, workshops, and seminars to convey or gather information required for job functions.
- Prepares written and electronic documents, such as reports, memos, letters, agendas, and recommendations, to document activities and convey information.
- Provides training to human resources and administrative staff on privacy laws and record-keeping requirements to ensure compliance with state and federal regulations.
- Provides technical assistance to school site and district administrators on leave policy applications to ensure fair and equitable use and address potential abuses.
- Researches benefit policies and practices to ensure accurate development of options, equitable application, and identification of cost-saving strategies.
- Resolves conflicts with insurance providers to verify eligibility, convey information, and process claims.
Requirements
- Minimum associate’s degree or two years of work-related experience.
