The Brooklyn Waldorf School (BWS) is a vibrant, independent school in Bedford-Stuyvesant serving over 160 students from pre-K through grade 8. Rooted in the Waldorf curriculum founded by Rudolf Steiner, BWS integrates critical thinking, emotional intelligence, and the arts to educate the whole child—academically, artistically, and physically. Faculty members, many of whom remain with their classes for multiple years, develop classroom content that reflects both Waldorf principles and the values of the local urban community. About the Role

The Auxiliary Program Coordinator manages the day-to-day administration of BWS’s Grades Afterschool Program, ensuring it is organized, safe, and aligned with school procedures. The role involves collaboration with faculty, the Business Office, Communications, and school leadership to oversee scheduling, registration, enrollment, staffing, timesheets, family communications, and student supervision.

Responsibilities

  • Program Coordination & Student Supervision
    • Coordinate daily operations of the Grades Afterschool Program, including student transitions, attendance, dismissal, staff schedules, classroom assignments, and student coverage.
    • Provide direct supervision and care of students, remaining on-site until all students are safely dismissed.
    • Coordinate age-appropriate program offerings with faculty and pedagogical leadership.
    • Work with the Music Director to supervise and transition students attending afterschool instrument lessons.
  • Safety & Program Procedures
    • Support a safe and supervised afterschool environment.
    • Ensure afterschool staff follow emergency, attendance, dismissal, incident-reporting, and classroom-use procedures.
    • Coordinate classroom and shared-space schedules, ensuring spaces are used and returned according to school procedures.
    • Escalate significant student, family, staffing, or safety concerns to school leadership.
  • Registration, Records & Billing, and Communication
    • Maintain accurate registration forms, emergency information, attendance records, incident reports, enrollment data, and other program documentation.
    • Coordinate registration, billing information, and enrollment updates with the Business Office.
    • Track enrollment and program participation to support staffing, scheduling, and approved program budgets.
    • Communicate attendance information for students in instrument lessons or related programming.
  • Collaboration & Communication
    • Serve as the primary program contact for families, responding to routine questions or concerns.
    • Partner with pedagogical leadership and faculty to align auxiliary programming with school priorities.
    • Develop program descriptions and collaborate with the Communications team on registration materials and family communications.
    • Participate in relevant meetings related to auxiliary and afterschool programming.
  • Additional Responsibilities
    • Support school-wide events, festivals, and community activities, including event setup and breakdown as assigned.
    • Coordinate childcare arrangements for designated school evening events.
    • Provide occasional support outside regular program hours for school events or activities related to the role (with advance scheduling and approval).
    • Support the planning and coordination of the School’s Summer Camp Program for Summer 2027, including schedules, staffing, registration, family communications, space coordination, and required documentation.

Requirements

  • Experience working in an afterschool, extended-day, youth, or school-based program environment.
  • Strong organizational, planning, and time-management skills.
  • Ability to manage multiple priorities in a dynamic school environment.
  • Strong written and verbal communication and interpersonal skills.
  • Proficiency with Google Workspace and the ability to learn school registration, database, and related technology systems.
  • Ability to work collaboratively and professionally with children, families, faculty, staff, and community members.
  • Understanding of, or openness to learning about, Waldorf education and pedagogy.
  • Sound judgment and the ability to identify and appropriately escalate safety, student, family, or staffing concerns.

Pay

$24 – $32 per hour, depending on relevant experience.

Schedule

Monday–Friday, generally 12:00–6:00 p.m. (approximately 30 hours per week). Occasional additional hours or evening events may be required with prior approval.
