Responsibilities
- Ensure timely processing of warranty claims for every dealership.
- Perform warranty coding and assist Service department team members when needed.
- Examine warranty documentation to confirm it includes necessary notes, images, and authorizations.
- Confirm all warranty repair order requirements and criteria are met.
- Use the designated accounting schedule to reconcile warranty receivables with received payments.
- Monitor unpaid claims and conduct necessary follow-ups.
- Handle claim rejections by resubmitting them immediately or filing appeals; process authorized write-offs for final rejections.
- Organize and store service records according to guidelines.
- Stay current on manufacturer bulletins and recall notices.
- Share important updates with relevant departments.
- Conduct routine meetings with Service Managers and Advisors to check open repairs and maintain compliance.
- Support Parts and Service personnel by providing training on documentation and warranty protocols.
- Maintain required certifications and complete ongoing manufacturer training.
- Execute clerical tasks as requested by the Controller or Warranty Manager.
- Provide backup for other members of the warranty team when required.
- Visit various locations to support warranty operations as needed.
- Travel is conducted during paid hours using a provided company vehicle.
- Other duties may be assigned as needed.
Requirements
- Maintain a process-oriented approach with keen attention to detail and an initiative to complete tasks.
- Excellent verbal and written communication skills.
- Possess strong conflict resolution abilities.
- Demonstrate effective problem-solving skills.
- Have excellent computer skills.
- Approach tasks with an empathetic and patient personality.
- Able to work and research problems independently while also working well across multiple teams.
- Must be at least 18 years of age and have a valid Driver’s License.
Preferred
- Previous warranty or administrative experience.
- Previous automotive industry experience.
