Qualifications
- Self-starter with ability to work well as part of a team or independently
- Valid driver's license and clean driving record
- Strong communication and customer service skills
- Ability to multitask in a fast-paced dealership environment
- Excellent organizational skills and attention to detail
- Comfortable using dealership systems, phones, email, scanners, and basic office technology
- Ability to work cooperatively with Service, Sales, Parts, Warranty, BDC, and Administrative teams
- Reliable, professional, and able to maintain confidentiality with customer and dealership information
- Prior dealership experience preferred, especially in service administration, BDC, warranty, loaner fleet, or cashier/reception roles
Responsibilities
- Customer Communication & Service Scheduling
- Answer incoming phone calls professionally and transfer calls to the appropriate team members
- Schedule service appointments and assist customers with basic service-related questions
- Cook up service inquiries and assist with customer updates when Service Advisors require additional support
- Email customer invoices and other service-related documents as needed
- Repair Order & Administrative Processing
- Scan repair orders into the dealer management system
- Aid in warranty repair orders, including scanning warranty approvals and helping locate missing information from prior ownership records
- Support the service department with administrative follow-up related to repair orders, customer invoices, and internal documentation
- Pay technicians for completed work in accordance with dealership processes and management approval
- Parts, Service & Internal Coordination
- Obtain customer parts quotes and relay information to Service Advisors so labor estimates can be completed
- Aid in communicating completed quote information back to customers when appropriate
- Work closely with Service Advisors, Warranty Administration, Parts, Sales, BDC, and Accounting to ensure timely and accurate communication
- Loaner Fleet Management
- Manage and track the service loaner fleet
- Handle loaner vehicle check-ins and loan-outs
- Maintain accurate records of loaner vehicle usage, availability, and customer activity
- Help ensure loaner vehicles are properly accounted for and returned in appropriate condition
- Sales Department Administrative Support
- Supply the Sales Department and Title Clerk with scanned K208 forms and CPO documentation
- Manage sales dealer plates, including checking plates in and out and maintaining proper tracking
