About the role

Responsibilities

  • Schedule and organize complex activities such as meetings, travel, and department activities for all members of the Senior Management Team.
  • Create and develop visual presentations for the GM.
  • Organize and prioritize large volumes of information and calls.
  • Sort and distribute mail, open mail for the GM, and determine level of priority.
  • Answer phone for GM, take messages, and field/answer all routine and non-routine questions.
  • Afford administrative support to the President, including managing his schedule.
  • Handle confidential and non-routine information.
  • Work independently and within a team on special and non-recurring projects, acting as a project manager for special projects.
  • Type and design general correspondences, memos, charts, tables, graphs, business plans, etc.

Qualifications

  • Must be dependable, friendly, enthusiastic, and self-motivated.
  • Office experience.
  • General telephone skills.
  • Documentation skills.
  • Verbal and written communication skills.
  • Reynolds and Reynolds preferred but not mandatory – will train.
  • Excellent organizational and time management skills with ability to follow-through.
  • High level of interpersonal skills to handle sensitive and confidential situations.
  • Demonstrated poise, tact, and diplomacy.
  • Knowledge of a variety of computer software applications in word processing, spreadsheets, database, and presentation software (MSWord, Excel, Access, PowerPoint).
  • Work requires organized continual attention to detail and accuracy in composing, typing, and proofing materials, establishing priorities and meeting deadlines.
  • Ability to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
