Responsibilities

  • Monitor time to make sure employees are checking in and out according to company policy
  • Approve time off requests and approve PTO through Time and Labor
  • Arrange for coverage for employees while they are sick/or on vacation
  • Encourage the employees to follow the policies and procedures of IMS
  • Responsible for staff supervision, corrective actions, and recommendations for termination
  • Assist Practice Manager in developing and enforcing staff schedules
  • Responsible for evaluating staff performance, developing standards, and ensuring basic competencies for all staff
  • Encourage employee in their job performance
  • Interview and recommend candidates for hire for open positions
  • Works with Practice Manager/Director of Operations to develop and implement goals and objectives for the clinical areas
  • Oversees clinical areas and ensures tasks are being completed accurately and timely (including patient intake, care coordination, documentation, exam room preparation, and in inventory management)
  • Provides support to Practice Manager/Director of Operations to ensure the clinic flow is smooth and efficient and that the patient care needs are met
  • Addresses issues raise by Practice Manager/Director of Operations
  • Makes reports to the Practice Manager/Director of Operations regarding schedules and daily flow
  • Schedules and/or performs maintenance of equipment and/or facilities
  • Aid in Practice Manager functions in the absence of the Practice Manager when needed
  • Responds in a timely manner to requests via email, inner office mail and phone calls from all departments with IMS
  • Establishes credibility and a strong presence in the division
  • Performs other duties as assigned

Requirements

  • High School diploma or GED required
  • A bachelor's degree in healthcare administration or business administration is preferred
  • Minimum 1-3 years' experience supervising in a clinical setting, including medical insurance, coding and reimbursement
  • Ability to communicate effectively both verbally and in writing
  • Ability to work independently and to be accurate, efficient, and organized
  • Ability to manage multiple changing priorities in an effective and organized fashion
  • Ability to respond to emergent or stressful situation in a calm and professional manner
  • Ability to interact with people from different backgrounds and cultures
  • Intermediate computer skills (i.e.. MS Word, Excel)
  • Knowledge of and follow HIPAA guidelines and secure Protected Health Information at all times
