About the Role
The Attendance Secretary at the secondary level serves as the main contact for attendance records. This position is responsible for keeping administrators informed of attendance-related issues and contacting parents regarding student absences.
Responsibilities
- Record and track student attendance using the District’s student information system, including period and daily attendance.
- Produce daily attendance reports.
- Submit, track, and maintain Becca records.
- Collaborate with the attendance team to provide interventions for student attendance.
- Verify student absences by making phone calls.
- Greet students, staff, parents, community members, and visitors upon their entrance to the building.
- Assist with answering incoming telephone calls, providing accurate information, directing calls, and taking messages.
- Problem-solve with frustrated or disgruntled parents, either by telephone or in person.
- Assist the Office Manager with secretarial tasks.
- Input discipline and other student record information, and assist with year-end reports related to discipline.
- Assist with parent communications, such as newsletters, emails, flyers, and surveys.
- Process paperwork associated with free and reduced lunch.
- Cover the health room when staff is unavailable, including caring for ill children, completing accident reports, administering medications, and providing first aid.
- Call parents or guardians when necessary and arrange for student pickup.
- Translate within scope of work if multilingual.
- Provide administrative support.
- Supervise students visiting the office area for various reasons.
- Maintain volunteer records.
Requirements
- High school diploma or equivalent.
- Two (2) years of secretarial experience.
- Basic knowledge of Microsoft Word and Excel.
- Ability to learn the District’s Student Information System within 3 months of hire.
- Positive evaluations.
- Criminal background clearance.
- Consistent work schedule during scheduled hours.
Skills
- Knowledge of school board policies and procedures.
- Proficiency in Microsoft Word and Excel.
- Database management skills.
- Ability to organize and perform job responsibilities efficiently and independently with strict attention to detail.
- Ability to work under pressure and handle safety responsibilities.
- Basic knowledge of modern technology and willingness to increase proficiency.
- Strong verbal and written communication skills, including proofreading.
- Proper telephone etiquette.
- Effective safety and security practices within individual work routines.
- Flexibility to cope with frequent interruptions, multitask, and shift priorities to meet deadlines.
- Ability to develop and maintain positive customer relations in a multicultural and multiracial community.
- Ability to assist and cope with angry or distraught students, parents, and community members.
- Collaborative teamwork with District staff.

Physical Demands
- Regularly stand, walk, bend neck and back, and use hands for repetitive grasping and pushing/pulling.
- Frequently sit for extended periods and use a computer screen and keyboard.
- Occasionally squat, kneel, use hands for fine manipulation, climb stairs/ladder, lift, and reach overhead.
- Regularly lift/carry up to 5 pounds, frequently lift/carry up to 15 pounds, and occasionally lift/carry up to 25 pounds.
- Occasionally push/pull a maximum weight of 200 pounds.
Work Environment
- Primarily indoor conditions, regularly working near a video display.
- Moderate noise level in the work environment.
- Frequent interruptions and demanding deadlines.
- Occasional interaction with angry or distraught students, employees, and community members.

Level 4 on the FWEA-ESP Salary Schedule.
