About the Role

Our client, an educational institute, is seeking an Athletics Department Administrator to support athletics and advancement members while helping coordinate a highly active department. This visible role combines executive calendar and travel management, office operations, donor support, CRM reporting, and special-event coordination.

Responsibilities

  • Managing a complex executive calendar, coordinating meetings, and adjusting schedules as priorities change
  • Arranging multi-stop travel, including transportation, accommodations, and itineraries
  • Preparing presentations, reports, research, correspondence, and meeting materials
  • Acting as a professional point of contact for students, families, and other partners
  • Supporting advancement activities through donor scheduling, outreach preparation, and CRM reporting
  • Overseeing daily office needs, records, and supplies
  • Maintaining administrative and compliance documentation
  • Assisting with celebrations, banquets, and other department events

Qualifications

  • 2+ years of administrative or operational experience in a busy, high-traffic setting
  • Demonstrated success managing calendars, meetings, and detailed travel arrangements
  • Polished verbal and written communication skills with a strong service orientation
  • Proficiency with Microsoft Office
  • Experience with Salesforce or another CRM platform
  • Interest in sports
