About the role

Parthenon Management Group (PMG) is an association management company offering strategic guidance and creative solutions to professional and trade associations. The Association Manager is the primary management leader for professional societies managed by PMG, responsible for overseeing administration, annual meetings, programs, and the strategic plan of the organization. This role supports PMG’s goals, values, and philosophy through excellence, quality service, commitment, and accountability, demonstrating key accountabilities in communication, teamwork, and job knowledge.

Responsibilities

  • Governance:
    • Works with the Board of Directors and Committees to fulfill the organization's mission.
    • Leads the society in alignment with the strategic plan and board-defined mission.
    • Communicates effectively with the Board, providing timely and accurate information for informed decision-making.
    • Oversees organization of Board and committee meetings, including scribing discussions, preparing official minutes, and summarizing action items.
    • Follows up on action items with officers, board members, or committee chairs, providing administrative support as needed.
    • Monitors progress and holds members accountable for results.
    • Maintains a tracking and reporting system for the society’s annual work plan, documenting actions, progress, and accomplishments.
  • Financial Performance and Viability:
    • Ensures the financial health of the organization by developing resources and maintaining fiscal integrity.
    • Submits a proposed annual budget and monthly financial statements to the board.
    • Operates within the approved budget, ensuring maximum resource utilization and maintaining a positive financial position.
    • Assists with fundraising and developing resources to support the society’s mission.
    • Reconciles cash flow monthly and monitors financial trends and needs.
  • Organization Mission and Strategy:
    • Works with the board to ensure the mission is fulfilled through programs, strategic planning, and community outreach.
    • Implements programs that carry out the organization’s mission.
    • Leads strategic planning to ensure the society can successfully fulfill its mission.
    • Enhances the society’s image by collaborating with other professional organizations.
  • Meetings and Events:
    • Oversees the organization of the Annual Meeting and other meetings.
    • Collaborates with the Meetings Department to ensure timely completion of logistics.
    • Works with the Program Committee and PMG Meeting Content Department to develop the scientific program.
    • Ensures the vision and policies of the society are enforced throughout the planning process.
    • Reviews and obtains board approval for meeting budgets, coordinating with the Meeting Manager to adhere to budgetary restrictions.
    • Assists with other meetings-related activities as outlined in the annual task list.
  • Additional Duties:
    • Supports the CEO, Senior Association Leaders, and Directors of Association Management with special projects.
    • Assists in training and mentoring new staff.
    • Cultivates a positive workplace culture by utilizing employee strengths.
    • Leads and/or participates in strategic plan focus groups.
    • Performs other tasks as assigned.

Supervisory Responsibility

  • Provides assistance and training to Association Coordinators and new Association Managers.
  • Supervises assigned Association Coordinators.

Work Environment

This position is primarily office-based, involving everyday risks or discomforts that require normal safety precautions. On occasion, the role may require moderately demanding physical activity, such as handling and opening boxes weighing 35-40 pounds, standing, and walking extensively throughout the day.

Requirements

  • Bachelor’s Degree from a four-year university or equivalent experience.
  • Transparent and high-integrity leadership.
  • Budget management skills, including preparation, analysis, decision-making, and reporting.
  • Strong organizational abilities, including planning, delegating, program development, and task facilitation.
  • Ability to convey a vision of the organization’s strategic future to staff, board, volunteers, and donors.
  • Knowledge of fundraising strategies and donor relations unique to the nonprofit sector.
  • Skills to collaborate with and motivate board members and other volunteers.
  • Strong written and oral communication skills.
  • Demonstrated ability to oversee, train, and collaborate with staff.
  • Detail-oriented with excellent organizational skills.
  • Travel is required.
  • Mastery of Microsoft Office Suite, specifically Word and Excel, is strongly preferred.
