Responsibilities

  • Support the Customer Service team with administrative and operational tasks related to customer orders, print jobs, revenue activities, and production workflows.
  • Aid in Revenue activities by entering, updating, reviewing, and maintaining accurate order, revenue, or billing-related information within applicable systems.
  • Help with invoicing processes by verifying order details, job information, pricing support documentation, shipping information, and other required data needed for accurate and timely invoicing.
  • Manage samples and surge table activities by tracking sample requests, updating applicable logs or tables, communicating status updates, and ensuring information is organized and available to the appropriate team members.
  • Maintain accurate file management and Insite management processes, including uploading, organizing, naming, updating, and retrieving customer files, production files, proofs, specifications, documentation, and related job materials.
  • Review and update ship dates by using the Must Ship Date list provided by internal partners and entering or updating those dates for Customer Service Representatives in applicable systems or tracking tools.
  • Aid with OSI shipping documentation by preparing, organizing, reviewing, and routing shipping documents to support accurate and timely order fulfillment.
  • Maintain accurate records of job details, documentation updates, ship dates, invoice support information, customer files, and internal communications within SAP, Insite, shared files, spreadsheets, or other business systems.
  • Partner with Client Service Representatives, Production Account Coordinators, Revenue, Shipping, Scheduling, and Production teams to help ensure information is complete, accurate, and available when needed.
  • Monitor assigned task lists, shared inboxes, tables, reports, or queues to help ensure work is completed within expected timelines.
  • Identify missing, incomplete, or unclear information and escalate questions to the appropriate Client Service Representative or internal contact for follow-up.
  • Provide status updates to internal team members regarding documentation, ship dates, files, invoices, samples, or other assigned support tasks.
  • Follow established procedures, naming conventions, data entry standards, documentation requirements, and customer service expectations.
  • Contribute to a positive team environment by communicating proactively, asking questions, sharing updates, and supporting team members during peak demand periods.
  • Assist with additional administrative, operational, customer service, revenue support, or special project work as requested.

Requirements

  • Strong attention to detail and commitment to entering, reviewing, and maintaining accurate information.
  • Good verbal and written communication skills, with the ability to ask clear questions, provide updates, and communicate professionally with internal team members.
  • Strong organizational and time management skills, with the ability to manage multiple tasks, follow up on details, and meet deadlines.
  • Ability to follow established processes, work instructions, checklists, and documentation standards.
  • Basic analytical and problem-solving skills, including the ability to identify missing information, inconsistencies, or potential issues and escalate appropriately.
  • Ability to collaborate effectively with Client Service, Revenue, Shipping, Production, Scheduling, and other internal teams.
  • Willingness to learn print operations, order management, invoicing support, shipping documentation, file management, and customer service processes.
  • Proficiency with Microsoft Office applications, including Outlook, Excel, Word, and Teams.
  • Ability to work in a fast-paced operational environment while maintaining accuracy and professionalism.
  • Proactive, dependable, and team-oriented mindset.

Pay

The base compensation range varies across locations. For any eligible US locations, the base compensation range for this role is $39,900 USD - $74,100 USD. Base pay is positioned within the range based on several factors including an individual’s knowledge, skills and experience with consideration given to internal equity.
