About the role
The Program Associate provides assistance and support to the Program Manager/Assistant Program Manager with the management of the New Generation program of Newbuilds, special projects, or revitalization and refurbishment of vessels. This role involves consulting with internal clients across various departments (shore side and shipboard) to gather, analyze, and report data for recommended courses of action. Projects are typically top priority, high profile, and multi-departmental, requiring continuous communication and interaction in a fast-paced environment.
Responsibilities
- Project management coordination to support the development, tracking, monitoring, and reporting of several small to medium-sized special projects from inception to completion, ensuring on-time, on-budget delivery.
- Consult with design and brand teams to ensure executive direction and feedback are effectively implemented into projects.
- Interface with RCCL’s European site office and shipyard teams to ensure alignment on executive deliverables.
- Utilize project management tools and techniques to develop and maintain project scope.
- Administrate team meetings (attendees, agenda, and official minutes) and draft reporting of project status for executive review.
- Plan, coordinate, and structure project management workshops, ensuring clear objectives, executive involvement, and agreed-upon deliverables.
- Consult with clients to ascertain and define needs or problems and obtain data required for solutions.
- Conduct analysis and recommend solutions based on gathered insights to improve methods, procedures, and best practices.
- Perform vendor consultations and assessments to monitor progress, define problems, and obtain solutions.
- Communicate effectively with outside vendors/contractors to ensure contracted deliverables are met in a timely fashion.
- Facilitate risk reviews and ensure adherence to risk-centric ways of working for Miami-based workstreams.
- Align risk status and provide feedback on risk criticality as it relates to the entire project scope.
- Develop processing methods and practices for communicating project status to extended teams and executive management.
- Support project teams in the collection of quantitative and qualitative statistics, performing basic numerical analysis (financial, statistical).
- Perform other duties as required.
Requirements
- B.S. degree with a concentration in Business Administration, Management Information Systems, or a closely related discipline (Management Science, Industrial Engineering).
- 2-5 years of experience within a large corporation or consulting firm, with 1-3 years in an office administration environment. Equivalent combinations of education and experience may be considered.
- Solid written and verbal communication skills, with the ability to communicate clearly and precisely at all levels of the organization.
- Excellent interpersonal skills and strength in communicating in a multicultural environment with all levels of employees and management.
- Strong administrative, organizational, and presentation skills.
- Ability to multi-task in a fast-paced environment.
- Ability to coherently define problems, collect data, establish facts, draw valid conclusions, and find pragmatic solutions.
- Knowledge of or experience with process improvement methods and techniques.
- Ability to interpret technical instructions in mathematical or diagram form and deal with abstract and concrete variables.
- Ability to read, analyze, and interpret contracts, financial reports, legal documents, and government regulations.
- Ability to give and receive instructions in written and verbal forms and effectively present information and respond to questions from management, coworkers, customers, vendors, and shipboard employees.
Skills
- Proficiency in MS Word, Excel, PowerPoint, Visio, and Project.
- Familiarity with email, internet applications, and AutoCAD systems.
Physical Demands
- Regularly required to sit, stand, write, review, and type reports, compile data, and operate a PC.
- Must communicate, listen, compare variables, and assess information.
- Specific vision abilities required include close vision and color vision.
- Regularly moves about the office complex; may climb, descend, lift, or move up to 10 pounds.
Work Environment
- Work environment includes office locations and may involve moving inside/outside the office.
- High noise levels are possible when visiting shipboard, dry dock, newbuilding, or offsite locations. Personal protective equipment will be provided as needed.
- This position requires at least 40% travel to shipyards, conferences, and workshops.
